Sr. Equity Compensation AdministratorLocation:
Camden, NJ (On-site) Holtec International is seeking a Senior Equity Compensation Administrator to manage the administration of the company's equity compensation programs, including stock options, restricted stock units (RSUs), performance shares, and employee stock purchase plans (ESPP). This role ensures accurate processing of equity grants, vesting events, exercises, settlements, and tax reporting while maintaining compliance with regulatory and reporting requirements. The Senior Equity Compensation Administrator works closely with Human Resources, Finance, Payroll, Legal, and external equity plan providers to manage equity plan operations, maintain accurate participant records, and support financial reporting and compliance activities. The ideal candidate demonstrates strong analytical ability, attention to detail, and experience managing complex equity compensation data and reporting requirements.Minimum required qualifications include:
Bachelor's degree in Finance, Accounting, Human Resources, Business Administration, or a related field. 5+ years of experience in equity or stock plan administration. Strong understanding of equity compensation plans including stock options, RSUs, performance shares, and ESPP programs. Advanced proficiency in Microsoft Excel and data analysis. Strong attention to detail and ability to manage complex financial and equity data. Strong communication and cross-functional collaboration skills.Additional desirable qualifications:
Experience administering global equity compensation programs. Familiarity with equity management systems and stock plan administration platforms. Knowledge of taxation and regulatory requirements related to equity compensation plans. Experience supporting financial reporting, audits, and regulatory filings related to stock-based compensation. Certified Equity Professional (CEP) certification.Specific Areas of Responsibility:
Administer company equity compensation programs including stock options, RSUs, performance shares, and employee stock purchase plans. Manage the full lifecycle of equity grants including grant setup, vesting schedules, exercises, cancellations, and settlements. Maintain accurate participant records within the equity management system. Process employee equity transactions including option exercises, share releases, and terminations. Prepare and process equity grants for new hires, promotions, and annual grant cycles. Monitor vesting events and ensure accurate processing and reporting of vested shares. Coordinate internal approvals and maintain documentation for equity grant awards. Ensure compliance with tax regulations, securities laws, and company equity plan policies. Support preparation of equity-related regulatory filings such as Forms 3921 and 3922 and other required disclosures. Maintain documentation and internal controls to support financial reporting and audit requirements. Partner with HR, Finance, Payroll, and Legal teams to ensure accurate administration of equity compensation programs. Coordinate with external stock plan administrators, brokers, and vendors supporting equity plan operations. Support employee communication and education related to equity compensation programs. Prepare reports for executives, finance teams, and auditors regarding equity grants, exercises, and share usage. Monitor equity share pool usage and track dilution impacts. Support financial reporting related to stock-based compensation.
