Job Overview The Payroll Specialist is responsible for managing and executing payroll. This role ensures accurate and timely payroll for employees with varying compensation structures, including salary, hourly, commissions, basis points, overrides, bonuses, and draws. The Payroll and Compensation Specialist also ensures compliance with federal, state, and local labor regulations, while providing excellent service and support to employees and management. Key Responsibilities Payroll Processing
  • Administer semi-monthly payrolls for all employees, including Loan Officers, Branch Managers, Underwriters, Processors, and support staff.
  • Calculate and process Mortgage Loan Officer commissions based on compensation plans, basis points, branch overrides, tiers, and exceptions.
  • Calculate and process operational staff bonuses, including bonuses for Processors, Underwriters, Closers, Funders, and support staff based on company compensation plans and performance metrics.
  • Track recoverable and non-recoverable draws and reconcile balances monthly.
  • Ensure proper PTO, sick leave, and holiday accruals in line with company policies and federal/state requirements. Payroll Reconciliation & Controls
  • Reconcile payroll registers to accounting and commission reports prior to payroll submission.
  • Audit payroll and commission calculations to ensure accuracy and compliance with compensation agreements.
  • Identify and resolve discrepancies related to loan funding, pay rates, commissions, and deductions.
  • Maintain payroll controls and documentation to support internal and external audits.
  • Maintain accurate records of compensation agreements and commission authorizations.
  • Support regulatory, financial, and warehouse bank audits as needed. Systems & Data Management
  • Manage and maintain payroll systems (e.g., ADP Workforce Now or equivalent).
  • Ensure accuracy of employee records, tax setups, direct deposits, and benefits deductions.
  • Partner with HR and Finance to reconcile payroll accounts and resolve discrepancies. Employee Support
  • Serve as the first point of contact for payroll inquiries, including pay discrepancies, tax withholding, and timekeeping issues.
  • Educate employees on payroll policies, PTO accruals, and commission structures.
Qualifications Education & Experience Bachelor's degree in human resources, Accounting, Business Administration, or related field preferred. 5+ years of payroll experience, with at least 1-2 years in the mortgage or financial services industry. Strong understanding of commission structures, recoverable draws, and mortgage compensation models. Experience with payroll systems (ADP, Paychex, Paylocity, etc.) Advanced Excel and reporting skills preferred. Skills & Competencies Detail-oriented with excellent analytical and organizational skills. Knowledge of mortgage banking operations and compensation structures. Strong knowledge of wage and hour laws, tax compliance, and multi-state payroll. Ability to maintain confidentiality and handle sensitive payroll data. Excellent communication skills to effectively interact with employees and leadership
