Your Role:
The Senior Payroll & Benefits Administrator independently manages all payroll and benefits administration for Playabilities, ensuring accuracy, compliance, and a high-quality employee experience. This role serves as the subject matter expert for payroll, benefits, and HRIS processes, proactively identifying risks, resolving complex issues, and driving continuous improvement across systems and workflows.
RESPONSIBILITIES
: Payroll, Human Resources Information System (HRIS), and Electronic Medical Records (EMR) Manage and execute semi-monthly payroll for all employees, ensuring accuracy, compliance, and timely delivery, including preparation of payroll files from internal data sources. Facilitate the accurate and timely transfer of team member data from the EMR system into the HRIS for payroll and time-tracking processing. Proactively identify, investigate, and resolve payroll discrepancies and issues throughout all stages of payroll processing to ensure accuracy and regulatory compliance. Audit new hire payroll and benefit information for accuracy in the UKG Ready HRIS. Oversee timekeeping records to ensure accuracy, including approvals of timesheets and time off requests, and resolve any errors. Partner with Finance and HR leadership to execute annual compensation updates, bonuses, and system configurations. Support year-end payroll activities, including reconciliations and system configurations. Assist in compiling payroll and benefits data for annual audits and compliance reviews. Research and resolve payroll tax issues for employees and federal and state agencies. Benefits Administration Administer benefits, including enrollments, terminations, and billing, ensuring timely and accurate processing. Assist with payroll and benefits administration for all types of leave, including calculating payments and maintaining accurate tracking across systems. Reconcile monthly insurance and benefit invoices. Provide ongoing support and proactive recommendations for Playabilities' wellness programs, helping align offerings with team needs and wellness goals. Serve as the primary administrator for the 401(k) plan, ensuring accurate contributions, employer match processing, compliance testing support, and vendor coordination. Process Section 125 Cafeteria Plans contributions (e.g., health, dental, vision, and HSA deductions) to external vendors accurately and on time each pay period. Lead annual Open Enrollment end to end, including planning timelines, coordinating with brokers and vendors, preparing materials, facilitating employee education sessions, managing system updates, and ensuring accurate implementation across payroll and benefits systems. Human Resources Administrative Support Support HRIS updates to maintain accurate data across all domains of the system. Employee Communication and Support Act as an initial point of contact for employee inquiries related to payroll and benefits, responding within one Playabilities' business day. Foster a positive and supportive workplace culture through active engagement and communication. This role is well-suited for an experienced payroll and benefits professional seeking meaningful, independent work with flexible hours. Other duties as assigned.
EDUCATION
Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field (or equivalent experience).
EXPERIENCE
Minimum of 5-7 years of progressive payroll and benefits administration experience, including independent ownership of payroll processing, benefits administration, and vendor management. Demonstrated experience independently managing payroll and benefits functions with minimal supervision. Proven experience administering employee benefits programs, including enrollments, terminations, billing, and vendor coordination. Demonstrated experience reconciling insurance invoices and submitting contributions (e.g., 401(k), Section 125 plans) to external vendors. Experience working with UKG Ready, including auditing data and generating reports. Direct 401(k) administration experience Open enrollment ownership Proven ability to handle confidential information with professionalism and discretion in a fast-paced, employee-centered environment.
SKILLS/LICENSURE/CERTIFICATION/KNOWLEDGE
Ability to interpret and apply payroll, benefits, and tax regulations independently. Strong systems thinking with the ability to identify process gaps and implement improvements. Confidence serving as the go-to resource for payroll and benefits questions across the organization. Must be efficient with computers, windows operating system, and Microsoft Office Strong communication and interpersonal skills, with the ability to interact effectively with employees at all levels of the organization. Detail-oriented with excellent organizational skills and the ability to manage multiple tasks simultaneously. Ability to maintain confidentiality and handle sensitive information with discretion. Eagerness to learn and contribute to a collaborative team environment. Strong communication, organizational, and relationship-building skills. Ability to work independently while managing multiple priorities. Proficiency with various Human Resources technologies and Microsoft Office Suite.

Duties are primarily performed in a professional, deadline-driven office environment. May require duties to be performed within the clinic setting. Initial onboarding and transition period will include onsite presence, with increasing flexibility and remote work opportunities as systems and workflows are established. May require commute between clinic locations.
