The ideal candidate can look at office operations holistically—identifying operational gaps, establishing new processes, and helping our team scale effectively.

$65,000 - $75,000 a year (Based on Experience / BOE)

Austin, TX (Hybrid)
Schedule:
Minimum of 4 days onsite per week, with additional days as needed
FLSA Status:
Exempt Key Responsibilities Office Administration & Facilities Daily Operations:
Direct day-to-day office management, including supply inventory, facilities upkeep, and vendor selection/contract negotiations.
Communication & Scheduling:
Act as the primary point of contact for internal/external inquiries; manage complex scheduling and travel arrangements for engineering staff.
Onboarding & Organization:
Lead onboarding logistics for new hires (equipment setup, IT coordination); design and maintain digital and physical filing systems.
Shipping, Logistics & Procurement Shipment Management:
Oversee all inbound and outbound shipments (freight, courier, specialty), selecting carriers based on cost and timeline.
Procurement & Sourcing:
Manage purchase orders, negotiate vendor terms, evaluate suppliers, and source project materials as needs evolve.
Inventory & Tracking:
Maintain project and office inventory; analyze shipping costs/timelines and proactively resolve logistics issues.
Field Service Engineering & Client Support Documentation:
Prepare, review, and distribute quotes, proposals, and client-facing project documentation.
CRM & Pipeline Tracking:
Own CRM data integrity (customer tracking, data cleanup); track pipeline activity and deliver status insights to leadership.
Process Improvement:
Continuously assess office workflows, recommend strategic improvements, and lead cross-functional initiatives with minimal direction.
Requirements & Qualifications Experience:
3+ years of progressively responsible experience in office administration, operations coordination, or a related role.
Autonomy:
Proven ability to exercise independent judgment and manage competing priorities with minimal supervision.
Language Skills:
Japanese bilingual language skills are not required, but a strong plus.
Purchasing/Tech Skills:
Experience with high-dollar purchasing or procurement workflows is a major plus. Prior experience supporting engineering/technical teams preferred.
Systems:
Proficiency with Microsoft Office Suite/Google Workspace; experience with CRM platforms (Salesforce, HubSpot) or ERP/inventory systems is preferred.
Physical Requirements:
