Role Description Office Administration Manage day-to-day office operations and procedures Answer phones and manage incoming and outgoing correspondence Maintain organized digital and physical filing systems Order office supplies and coordinate with vendors Run errands as needed Scheduling & Coordination Manage calendars for projects and presentations Schedule client meetings, site visits, and internal project reviews Track deadlines and support overall project coordination Prepare agendas, meeting materials, and follow-up documentation Financial & Administrative Support Assist with invoicing, billing, and payment tracking Support basic bookkeeping functions including expense tracking and timesheets Coordinate with external accounting and payroll providers Client & Presentation Support Prepare and format proposals and contracts Assemble client meeting packets and presentation decks Provide administrative support during client meetings as needed Professional Growth Opportunities This position offers meaningful potential for advancement. With experience, the Office Manager may: Take ownership of client scheduling and communications Participate in client meetings and presentations Expand responsibilities into studio operations or project coordination Learn new skills such as AutoCAD and the Adobe Suite Assist with employee on-boarding and internal documentation Qualifications Strong organizational and time-management skills Excellent written and verbal communication abilities Proficiency with Microsoft Office, Google Workspace, and similar tools Interest in architecture, landscape architecture, or design-related fields Prior administrative or office experience preferred but not required High school diploma or equivalent; a degree in business administration or a related field is a plus

$45,000.00 - $55,000.00 per year
