Job Description

ESSENTIAL DUTIES AND RESPONSIBILITIES
Note:
All City of Fayetteville positions require employees to provide good customer service to both internal and external customers, maintain positive and effective working relationships with other City employees (especially members of their own team), and have regular and reliable attendance that is non-disruptive. Other essential duties of this position include the following: 1. Serves as the first point of contact to meet the public and employees as they enter the Human Resources office. Greets and assists internal and external customers with courtesy and tact and connects them with other HR staff as needed. 2. Answers and routes incoming calls on the HR main line and responds to general HR email inquiries in a timely manner. 3. Maintains and organizes HR records, including scanning, indexing and filing. Coordinates records retention for both physical and electronic files. 4. Supports recruitment activities by processing applications, assisting with applicant tracking, and coordinating communication with hiring managers. 5. Tracks applicant data, including offers, promotions, and transfers, to ensure compliance with Equal Employment Opportunity (EEO) reporting requirements. 6. Assists with pre-employment processes, including screenings and onboarding coordination. 7. Assists with new employee onboarding, including first-day orientation and collection of required documentation. 8. Maintains and updates HR systems, including Applicant Tracking, Performance Management, and Learning Management systems. 9. Serves as a liaison with temporary employment agencies and supports workforce staffing needs. 10. Assists with workers' compensation processes and related documentation. 11. Prepares correspondence, reports, and other HR related documentation. 12. Assists with purchasing activities for the division, including requisitions, check requests, and purchasing cards. 13. Completes required reporting, including State of Arkansas New Hire Report. 14. Responds to employment verification requests from third parties. 15. Assists employees with HR forms (e.g., direct deposit, benefits changes), ensuring accuracy and completeness. 16. Maintains strict confidentiality of employee and applicant information. 17. Participates in HR team meetings and supports department-wide initiatives and special projects. 18. Provides cross-functional support within HR and assists with citywide programs and committees as needed. 19. Performs other duties as assigned. 1. Provides backup support for HR team members and helps ensure continuous front desk coverage. 1. High School Diploma and four years of relevant administrative assistant experience. Human Resources experience preferred. 2. Ability to multi-task and complete work in a timely and reliable manner. 3. Possess strong organizational skills. 4. Must be proficient in the use of a computer and related software programs including word processing and spreadsheet applications. Possess the ability to become proficient in the City's applicant tracking and document imaging software as well as other HR applications. Must be able to learn to navigate the City's financial management and HRIS systems. Ability to use standard office equipment (telephone, copier, scanner, etc.) 5. Must have abilities to communicate effectively with others. 6. Must be able to sit, stand, and move from location to location. Ability to manipulate computer keyboard and papers; and stoop or bend. Occasional light lifting and carrying up to 10 pounds may be required. 7. Must possess the ability to work effectively in a front desk environment that includes regularly receiving walk-in traffic and phone calls.
