Job Description

ACA is seeking a highly organized, detail-oriented Human Resources Coordinator to provide administrative and operational support to the Human Resources Department. This position plays a critical role in supporting employee onboarding, personnel file management, employment verification, benefits administration support, compliance tracking, and HR recordkeeping. The ideal candidate is professional, customer-service oriented, and able to maintain strict confidentiality while handling sensitive employee information, including personnel records, compensation data, and employment-related documentation. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced educational environment. Position Status and Compensation This position is initially structured as a full-time role working approximately 40 hours per week to support current Human Resources operational needs. After approximately six (6) months, the position is expected to transition to a part-time schedule of approximately 20-25 hours per week based on organizational needs and workload demands. Compensation for this position is $25.00-$30.00 per hour, depending on qualifications and experience. This position is not eligible for employee benefits. Essential Duties and Responsibilities Employee Onboarding and Hiring Support Process new hire paperwork and onboarding documentation. Enter and maintain employee information in ADP and other HR systems. Create and maintain employee personnel files. Ensure all required employment documents are completed and collected. Coordinate onboarding communications with new employees. Conduct employment reference checks. Coordinate and track pre-employment requirements, including background checks and fingerprint clearance cards. Monitor completion of required employment documentation, including I-9 forms, policy acknowledgments, direct deposit forms, and other onboarding requirements. Personnel Records Administration Maintain accurate and organized personnel records, both electronic and physical. Perform HR filing and document retention activities. Employment Verifications and Compliance Support Maintain documentation related to verifications and employment records. Assist with HR compliance activities and internal audits. Support compliance with employment laws, organizational policies, and regulatory requirements. Employee Separations and Offboarding Assist with employee offboarding and termination processes. Benefits Administration Support Assist employees with benefits-related questions and troubleshooting. Support benefits enrollment and qualifying life event changes. HR Reporting and Administrative Support Prepare HR forms, correspondence, and reports. Maintain HR tracking spreadsheets and databases. Track employee certifications, licenses, fingerprint clearances, and required renewals. Confidentiality and Professional Standards Handle highly confidential employee information Maintain strict confidentiality and professionalism at all times. Required Qualifications High school diploma or equivalent required. Minimum of two (2) years of administrative, HR, payroll, or related experience preferred. Experience working with HRIS systems; ADP experience preferred. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Proficiency with Microsoft Office Strong written and verbal communication skills. Ability to maintain confidentiality and exercise sound judgment. Preferred Qualifications Previous Human Resources experience. Experience working in a school, nonprofit, or public-sector environment. Knowledge of employment practices and HR compliance requirements. Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field.
