Job Description

About Us NGY Group is a growing company seeking a reliable and organized Office Assistant to support Human Resources, office administration, and leadership projects. This is an excellent opportunity for someone looking to gain experience in HR, administration, and business operations while working closely with company leadership. We are looking for someone who is willing to learn, take initiative, and grow with the company. Responsibilities Human Resources Support
  • Assist with recruiting and interview scheduling
  • Prepare and process onboarding paperwork and new hire documents
  • Prepare and process offboarding paperwork
  • Maintain employee personnel files and records
  • Assist with timecard review and payroll preparation
  • Support employee communications and HR projects Administrative Support
  • Answer and direct phone calls
  • Review, organize and submit invoices for approval and payments
  • Manage office filing and document organization
  • Order office and warehouse supplies and maintain inventory
  • Schedule meetings and coordinate calendars
  • Prepare reports, spreadsheets, and correspondence Leadership & Operations Support
  • Assist company leadership with administrative projects
  • Research vendors and contractors as needed
  • Coordinate appointments, service providers, and follow-ups
  • Support special projects and cross-functional initiatives
  • Perform general office support duties as assigned Qualifications Required
  • High School Diploma or equivalent
  • Strong organizational and multitasking skills
  • Strong attention to detail
  • Proficient with Microsoft Office and/or Google Workspace
  • Professional communication skills
  • Ability to maintain confidentiality
  • Dependable with strong follow-through
  • Bilingual English and Chinese (Mandarin) Preferred
  • Previous office and administrative
  • Experience working in a fast-paced environment
