Job Description

Position Title HR Administrator Reports to Sr. HR Manager Department Human Resources Location In-House Classification Hourly Revision Date 3/2/2026 Position Summary The HR Administrator provides operational and administrative support to the Human Resources function. This role is responsible for maintaining employee records, supporting onboarding and offboarding processes, assisting with compliance documentation, coordinating benefits administration, and ensuring accurate HR data management. The HR Administrator ensures HR processes are executed efficiently, consistently, and in compliance with federal, state, and company policies. Essential Duties & Responsibilities 1. HR Operations & Administration o Maintain and audit employee personnel files (electric and physical). o Process new hire, status change, and termination documentation. o Ensure I-9 completion and proper documentation retention. o Update and maintain HRIS records with high data accuracy. o Generate routine HR reports. 2. Onboarding & Offboarding o Coordinate background checks, drug screening, and pre-employment requirements. o Prepare and distribute offer letters and onboarding packets. o Conduct new hire orientations. o Process termination and ensure proper documentation, final pay coordination, and system updates. o Track onboarding completion metrics. 3. Compliance Support o Support compliance with federal, state, and local laws (FLSA, FMLA, ADA, EEO, etc.) o Maintain labor law postings and required notices. o Assists with internal audits and external agency audits. o Track required certifications, training, and policy acknowledgement. o Maintain investigation and disciplinary documentation. 4. Payroll & Benefits Support o Assists with benefit enrollment and qualifying life events. o Support open enrollment logistics. o Coordinate payroll date changes and verify time records. o Address payroll discrepancies with accuracy and timeliness. 5. Employee Support o Serve as a first-line contact for HR inquiries. o Provide administrative support for employee relations. o Maintain strict confidentiality of sensitive information. Responds effectively to changing labor laws, company policies, and workforce needs. Skills 1. HR Technical Skills o Knowledge of employment law fundamentals o Understanding of I-9 compliance and document retention standards o Familiarity with FLSA wage and hour principles. o Benefits administration basics. o Payroll support knowledge. 2. System & Administrative Skills o HRIS proficiency o Strong Microsoft usage o Document control and records management o Data entry accuracy o Calendar coordination and workflow management. 3. Analytical Skills o Ability to audit files for compliance gaps. o Ability to reconcile payroll or HRIS discrepancies. o Report generation and trend tracking. o Process improvement identification. $18.00 - $23.00 per hour
