HR Assistant:
Position Summary This position plays a key role in supporting compliance, documentation, and follow-through related to employee leaves of absence, workplace accommodations, and workers' compensation cases. This position partners closely with the Director of HR Risk Management and the broader HR team to ensure processes are moving forward timely, documentation is complete, and data integrity is maintained across systems and internal tracking tools. The ideal candidate is highly organized, detail-oriented, and comfortable following up with multiple stakeholders to keep cases progressing. Key Responsibilities Track and follow up on employee leave of absence documentation (e.g., FMLA, state leaves), workplace accommodations, and workers' compensation medical certifications to ensure timely completion and compliance. Monitor case progress and escalate delays, missing documentation, or potential non-compliance to the designated HR team member. Complete and manage leave and accommodation processes related to workers' compensation cases in coordination with HR, Risk Management, and third-party partners as applicable. Audit internal tracking spreadsheets against HRIS, leave management systems, and workers' compensation platforms to ensure accuracy, alignment, and data integrity. Maintain up-to-date case records, documentation logs, and follow-up trackers to support timely outreach and resolution. Support audits and quality checks across HR processes as assigned (e.g., leave compliance, accommodations documentation, workers' comp tracking, internal controls). Communicate professionally with employees, managers, vendors, and internal HR partners regarding documentation needs and next steps. Prepare basic reports, summaries, and status updates for leadership related to open cases, compliance gaps, and aging items. Assist with continuous improvement of tracking tools, workflows, and standard operating procedures related to leave, accommodations, and risk management processes. Maintain confidentiality and handle sensitive employee information in compliance with company policy and applicable laws. Key Competencies Data integrity & audit mindset Follow-through & accountability Process tracking and documentation Confidentiality & professionalism Organization and time management Collaborative communication Qualifications High school diploma or equivalent required; Associate's degree or HR-related coursework preferred. 1-3 years of experience in HR administration, leave management, workers' compensation support, or compliance-related roles preferred. Familiarity with
FMLA, ADA
accommodations, workers' compensation processes, and general HR compliance is strongly preferred (training can be provided). Strong attention to detail with the ability to audit data across multiple systems and spreadsheets. Highly organized with strong follow-up skills and the ability to manage multiple cases and deadlines. Proficient in Microsoft Excel and basic reporting; experience with HRIS, leave management, or workers' comp systems a plus. Professional communication skills (written and verbal) and the ability to interact with employees and leadership with discretion and empathy. Ability to handle confidential information with integrity and sound judgment.
