Job Summary The HR Associate provides administrative and operational support to the Human Resources department across a wide range of functions. This role assists with employee onboarding and terminations, benefit processing, HR recordkeeping, compliance audits, and special projects. The HR Associate also serves as a point of contact for general employee inquiries, manages mail and supply inventories, and supports company-wide programs such as service awards, scholarships, and wellness activities. This position is designed for a highly organized individual with strong attention to detail who thrives in a fast-paced environment and contributes to the overall success of the HR team. Job Function Essential Job Duties Manage daily HR mail, HR phone line, and department emails; route inquiries to appropriate HR staff. Maintain personnel, benefits, and medical files in compliance with company policies and confidentiality requirements. Process new hires, promotions, and terminations including file creation, record updates, and checklist management. Enter and process invoices, vouchers, and payments through the AP system; support payroll audit submissions. Coordinate incoming and outgoing mail (FedEx, UPS, USPS), ensuring timely and accurate processing. Monitor, restock, and manage inventory of HR office supplies and kitchen supplies. Assist in managing employee programs including Education Assistance / Reimbursement, Employee Dependent Scholarships, and Employee Service Awards. Reconcile and process monthly United Way donations, prepare vouchers, and distribute payments. Track and send monthly reminder emails (expense reports, HR deadlines, etc.). Assist with compliance reporting (e.g., Bureau of Labor Statistics notices). Assist with HR-driven special projects such as employee audits, policy updates, or vendor coordination. Conduct outreach to employees with missing or incomplete beneficiary designations for 401(k) and life insurance. Assist the Lead Wellness Champion by organizing, communicating, and promoting employee wellness activities and initiatives. Support company safety initiatives and ensure related HR documentation is maintained. Collaborate with HR staff and managers to streamline processes, improve accuracy, and ensure excellent employee support. Required Skills Qualifications High School Diploma or equivalent; associate's or bachelor's degree in HR or business preferred. Prior administrative or HR experience strongly preferred. Strong organizational skills and attention to detail. Ability to handle confidential information with professionalism and discretion. Proficiency with Microsoft Office Suite, Box, and HRIS/payroll systems. Strong written and verbal communication skills. Ability to manage multiple tasks and deadlines in a fast-paced environment. Positive, team-oriented attitude with strong customer service focus. Compensation Range The anticipated compensation for this position is USD $22.00/Hr. - USD $23.00/Hr. depending on experience, qualifications, and location.
