Job Description

Job Overview We are seeking a highly organized and detail-oriented Safety Administrator to support our Safety & Compliance Department. This position plays a critical role in coordinating safety programs, maintaining compliance documentation, managing employee records, supporting onboarding activities, and ensuring company safety and personnel records are accurate, complete, and compliant with company policies and regulatory requirements. The ideal candidate will possess strong administrative skills, excellent attention to detail, and the ability to manage multiple priorities in a fast-paced construction environment. Knowledge High school diploma or equivalent required; Associate's degree preferred. Minimum two (2) years of administrative experience required. Experience in safety, construction, human resources, compliance, or related fields preferred. Knowledge of OSHA recordkeeping requirements and workers' compensation processes preferred. Familiarity with employee onboarding, document management systems, and compliance tracking programs. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Understanding of office administration practices, recordkeeping, and document control procedures. Skills and Abilities Strong organizational skills with exceptional attention to detail. Ability to manage multiple priorities, deadlines, and administrative tasks simultaneously. Excellent verbal and written communication skills. Strong customer service and interpersonal skills. Ability to maintain confidential information with professionalism and discretion. Strong analytical and problem-solving abilities. Ability to work independently and collaboratively within a team environment. Proficiency in creating reports, spreadsheets, presentations, and correspondence. Ability to adapt to changing priorities and departmental needs. Strong follow-through and time management skills. Essential Functions Maintain employee safety training records, certifications, licenses, and qualification documentation. Monitor employee compliance requirements and notify management of upcoming expirations, certifications, and training needs. Schedule and coordinate safety orientations, training sessions, meetings, and compliance programs. Assist with new hire onboarding, orientation documentation, employment paperwork, and pre-employment requirements. Maintain personnel files and ensure required employment and compliance documents are complete, organized, and current. Support recruiting efforts through applicant tracking, interview scheduling, and onboarding coordination. Maintain OSHA logs, safety records, compliance documentation, and department files. Assist with injury reporting, workers' compensation documentation, claim tracking, and return-to-work records. Prepare, distribute, and maintain safety alerts, toolbox talks, company notices, and safety communications. Support incident investigations by organizing documentation, photographs, witness statements, and corrective action records. Track safety audits, inspections, corrective actions, and follow-up activities to ensure timely completion. Maintain electronic and hard-copy filing systems for safety, compliance, and personnel records. Prepare reports, spreadsheets, presentations, and administrative documents for management and department staff. Coordinate document control and ensure accurate record retention in accordance with company policies and regulatory requirements. Assist with compliance initiatives, audits, and special projects. Serve as the primary administrative support resource for the Vice President, Safety & Compliance. Answer department phone calls, respond to inquiries, and provide administrative support to employees, supervisors, and management. Perform general office and administrative duties as assigned. Physical Requirements Ability to sit, stand, and walk for extended periods throughout the workday. Ability to perform routine office tasks, including computer work and document management. Ability to occasionally lift, carry, and move files, records, and office materials weighing up to 25 pounds. Work Environment Professional office environment with frequent interaction among employees, management, and field personnel. Regular use of office equipment, including computers, printers, telephones, scanners, and copiers. Fast-paced environment requiring attention to detail and the ability to manage multiple priorities. Occasional interruptions and changing priorities may occur throughout the workday. Must be able to work on-site during regular business hours.

Pay:
$55,000.00 - $75,000.00 per year
