Job Description
JOB SUMMARY
Under the supervision of the Chief Human Resources Officer (CHRO) and the Human Resources Manager, the Human Resources Assistant provides a wide range of administrative and clerical support to ensure the effective and efficient operation of the Human Resources Department. This role is responsible for interacting with and assisting both internal and external customers by providing HR-related services in accordance with established company policies, procedures, and applicable legal standards.ESSENTIAL DUTIES AND RESPONSIBILITIES
Uphold and support the philosophy, mission, objectives, and policies of Community Health Systems, Inc. (CHSI). Screen and route incoming telephone calls, transfer calls to the appropriate staff members, take accurate messages, and provide information or assistance to callers as appropriate. Perform standard office duties including filing, copying, faxing, and distributing incoming and outgoing mail. Compose professional business correspondence using company-provided computer programs and software applications. Input, update, and maintain data within the Human Resources Information System (HRIS), including the creation and maintenance of spreadsheets and reports. Always maintain strict confidentiality of employment records and sensitive employee information, in accordance with company policies and applicable legal requirements. Perform tasks necessary to maintain administrative filing systems and ensure materials are properly sorted, classified, and filed in an organized and orderly manner. Assist the Human Resources Department in implementing and carrying out various HR policies, programs, procedures, and initiatives. Generate monthly reports to ensure compliance of employee files, including CPR certifications, annual TB tests, chest X-rays, and other required documentation. As needed notify and follow up with Employee and Site Manager regarding missing documentation necessary to maintain employee file compliance. Order and maintain office supplies and coordinate computer equipment service if needed. Assist with special projects and assignments as directed by the Chief Human Resources Officer (CHRO) and Human Resources Manager. Assist with HR-related company events and activities. Perform HR-related errands, including the delivery of certified mail to the post office, pickups, and drop-offs of parcels for shipment, coordination of event arrangements, and other assigned tasks. Perform all other duties as directed either formally or informally, verbally or in writing.SUPERVISORY RESPONSIBILITIES
This position does not include supervisory responsibilities.KNOWLEDGE, SKILLS, AND ABILITIES
Ability to maintain a high level of confidentiality and exercise sound judgment in handling sensitive information. Knowledge of general Human Resources practices, office procedures, and records management. Demonstrate advanced written and verbal communication skills. Maintain a high standard of professional ethics, appearance, conduct, and interpersonal communication. Ability to coordinate multiple projects and consistently meet deadlines. Proficient in the use of modern office equipment and software applications, including Microsoft Word, Excel, Outlook, and PowerPoint. Excellent organizational and time management skills. Knowledge of business correspondence, report writing, filing systems, and records maintenance procedures.EXPERIENCE AND EDUCATION
High School Diploma or GED required. At least one (1) year Human Resources support experience. Familiarity with California employment laws and HR compliance practices.Similar remote jobs
