Description:
Required:
Minimum 3 years of HR experience in high-volume LOA administration with minimal supervision. Minimum 1 year of experience conducting formal interactive process meetings. Solid understanding of federal and state regulations affecting employee benefit programs, including FMLA, CFRA, PDL, and ADA. Proficient in Microsoft Office, especially Excel, and familiar with HRIS systems and Kronos payroll systems.
Preferred:
Bachelor's Degree preferred HR Certification Specific Skills Needed In-depth knowledge of applicable state and federal laws, including FMLA, CFRA, PFL, ADA, and PDL. Proven ability to prioritize multiple LOA cases, ensuring accurate follow-up tracking and timely communication. Competence in calculating pay portions and applying pay practices, with the ability to communicate effectively with payroll and other relevant departments. Strong interpersonal communication skills with a focus on service orientation. Detail-oriented, organized, and adept at time management. Excellent verbal and written communication skills. Proficiency in Microsoft Office, HRIS systems (Oracle), and other relevant software. Exceptional communication, organizational, and follow-up skills.
DUTIES AND RESPONSIBILITIES
Safeguards and preserves the confidentiality of patient's protected health information in accordance with State and Federal (HIPAA) regulatory requirements, hospital and departmental policies. Ensures a safe patient environment and adherence to safety practices per policy. With consideration to age, employee utilizes the approved process to resolve biophysical, psychological, educational and environmental needs of patient/significant other when administering care. Resource:
Act as a key resource for client's sites regarding the Leave of Absence (LOA) program.
Manage LOA Requests:
Oversee the full cycle of LOA requests, from submission of medical documentation to communication of outcomes with relevant parties.
Provide Consultation and Education:
Deliver timely and accurate consultation on LOA issues to both employees and management.
Prioritize LOA Cases:
Manage a high volume of LOA cases while ensuring organized and precise record-keeping.
Demonstrate Customer Service Skills:
Exhibit strong customer service, problem-solving, and creative thinking abilities. Engage with
Employees:
Conduct interactive dialogues with employees to assess their needs and medical requirements for leave.
Prepare Utilization Reports:
Generate reports on leave utilization trends, including types of leaves taken, duration, and return rates. Analyze Data for
Improvements:
Evaluate data to identify areas for enhancement in LOA processes and employee support.
Educate Management:
Inform management about the company's leave policies and relevant laws to ensure compliance and proper handling of requests. Advise on
Attendance Matters:
Collaborate with leaders to provide guidance on performance and attendance issues related to approved leaves.
Document Interactions:
Maintain thorough documentation of all interactions with employees, HR representatives, and management for compliance and audit purposes. Utilize Systems for
Processing:
Use Kronos, Oracle, and other systems to accurately process payroll and LOA actions.
Prepare Communications:
Draft and distribute written notifications regarding leave approvals and denials. Collaborate with
Leadership:
Work with department and HR leaders to ensure effective coordination of leave requests.
Coordinate Informational Meetings:
Organize meetings with department leaders as needed to discuss LOA-related matters. Act as a
Liaison:
Serve as a liaison between employees, employers, and payroll departments to determine leave eligibility and ensure documentation compliance.
Conduct Interactive Meetings:
Facilitate interactive process meetings when necessary and maintain supporting documentation.
Guide Return-to-Work Process:
Provide information on returning to work after leave, including any required fitness-for-duty certifications.
Develop LOA Documentation:
Create, prepare, and verify LOA documentation to ensure compliance with state and federal laws and policies.
Seek Process Improvements:
Continuously identify opportunities for improving processes and service delivery.
Uphold Confidentiality:
Maintain the confidentiality of sensitive information and ensure compliance with HIPAA regulations.
Analyze Trends:
Assess trends in leave utilization and recommend policy adjustments or training needs. Stay Updated on
Regulations:
Keep informed about relevant laws and regulations changes to ensure practices align with current requirements.
Conduct Regular Audits:
Perform regular audits of LOA processes to ensure adherence to policies and legal requirements.
Facilitate Training Sessions:
Conduct training for HR staff and management on LOA policies and procedures. Collaborate with
Benefits Administration:
Work with benefits administration to ensure accurate reporting and coordination of employee benefits during leaves.
Prepare LOA Metrics Reports:
Create reports on LOA metrics for management review, highlighting key trends and areas for improvement.
Provide Employee Support:
Offer resources and support to employees navigating their leave, including referrals to Employee Assistance Programs (EAP) as needed. Serve as a
Point of Contact:
Act as a primary contact for any issues or disputes related to leave requests and resolutions.
Perform Additional Duties:
Carry out other related duties as assigned.
