Must be available to work weekends and holidays Job Summary The Onboarding Specialist is responsible for managing the full onboarding process for high volume staffing assignments, from offer acceptance through the employee's first day on assignment. This role ensures all compliance requirements are completed accurately and on time while delivering a smooth and efficient onboarding experience for new hires. This role requires strong bilingual communication skills in Spanish and Punjabi, as you will be supporting and guiding a diverse candidate pool through each step of the onboarding process, including explaining requirements, answering questions, and ensuring readiness for Day 1. Key Responsibilities Onboarding & Compliance Initiate and track background checks, drug screenings, and reference verifications Complete and verify I-9 documentation and employment eligibility requirements Ensure all onboarding paperwork is fully completed and compliant with federal, state, and company guidelines Monitor onboarding status to ensure timely clearance for start dates Data Entry & Systems Management Accurately enter candidate and employee information into HRIS and Applicant Tracking Systems (ATS) Maintain onboarding records, compliance logs, and tracking spreadsheets Ensure data accuracy and integrity across all systems in a high-volume environment Candidate Communication & Support (Bilingual - Spanish & Punjabi) Serve as the main point of contact for new hires during onboarding Communicate clearly with candidates in Spanish and Punjabi as needed Provide step-by-step guidance on onboarding requirements, paperwork, and start dates Respond quickly and professionally to candidate questions to keep onboarding on track Deliver welcome information and ensure candidates are fully prepared for Day 1 Coordination with Internal Teams Partner with recruiters, staffing coordinators, and hiring managers to manage daily start schedules Coordinate with IT and site teams to ensure badges, equipment, and system access are ready Provide onboarding status updates to internal stakeholders Process Support & Efficiency Support continuous improvement of onboarding workflows Help streamline high-volume onboarding processes to improve speed-to-start Identify and escalate issues that may delay candidate placement Required Qualifications & Skills Bilingual required: Spanish and Punjabi Experience in staffing agency, warehouse, logistics, or manufacturing environments preferred Experience in staffing, recruiting, or high-volume customer service roles Understanding of onboarding compliance requirements (including I-9 verification) Experience with HRIS and ATS systems Proficient in Microsoft Office or Google Workspace Strong communication and organizational skills High attention to detail and ability to manage multiple priorities in a fast-paced environment Compensation & Benefits $20.00 per hour
