This role is essential to the daily operations of the company. The ideal candidate must be extremely organized, detail-oriented, and capable of managing multiple responsibilities while maintaining clear follow-up and operational structure. We are looking for someone who can support recruitment and staffing operations, client communication, administrative operations, and billing processes while helping maintain the high standards expected by hospitality clients. Because we operate as a staffing agency providing personnel for hotels and hospitality clients, the candidate must also be comfortable recruiting, screening, and coordinating employees for operational needs.

Job Duties Demonstrates and promotes a 100% commitment to providing the best possible service experience for clients and guests . Answer incoming calls and maintain professional communication with clients and potential clients . Contact existing and potential clients for follow-ups, service coordination, and relationship management . Assist with client acquisition and lead tracking through organized communication and follow-up. Prepare and send weekly invoices to clients and maintain proper billing documentation. Maintain organized records of client communications, service requests, and operational updates . Actively support staffing and recruitment efforts , including posting job openings, reviewing applications, contacting candidates, and scheduling interviews. Assist with recruitment efforts , including posting job openings, reviewing applications, contacting candidates, and scheduling interviews. Track job postings and ensure applicants are reviewed and contacted in a timely manner. Track employee hours and assist with payroll preparation by reviewing time records. Maintain operational organization through Excel spreadsheets and administrative systems . Ensure staff and operational processes maintain hospitality-level service standards . Promote compliance with company policies, safety procedures, and operational guidelines . Support management in maintaining efficient daily operations and organized administrative processes. Requirements Experience in hospitality, hotel operations, or janitorial services (required) Strong organizational and time-management skills Proficiency in Microsoft Excel and administrative tools Excellent attention to detail and ability to maintain structured processes Strong communication skills in English (Spanish is a plus) Ability to manage multiple responsibilities efficiently Ability to work independently and maintain consistent follow-ups without reminders Ability to recruit, communicate with candidates, and help maintain a pipeline of available staff Preferred Experience Experience working with hotel operations or hospitality service companies Experience with staff recruitment, scheduling, and payroll coordination Experience supporting operational teams in service-based businesses Experience working in a staffing agency or recruiting employees for service-based businesses
