Job Description

Job Overview We are seeking a dynamic and organized Office Administrator/HR Support professional to join our team! This role is vital in ensuring the smooth operation of daily office functions while providing essential human resources support. You will be the backbone of our administrative operations, managing schedules, coordinating vendor relationships, overseeing HR processes, and maintaining an efficient, welcoming office environment. Your energetic approach and attention to detail will help foster a productive workplace where team members thrive and organizational goals are met with enthusiasm. Duties Manage daily office operations, including front desk duties, multi-line phone systems, and greeting visitors with professionalism and warmth Oversee schedule management for staff meetings, appointments, and company events to ensure seamless coordination Support human resources functions such as onboarding, training & development, employee record keeping, and payroll processing using QuickBooks or similar software Coordinate vendor management activities including service contracts, supplies procurement, and maintaining positive vendor relationships Assist with bookkeeping tasks like filing financial documents, tracking expenses, and supporting budgeting efforts Organize company events and meetings through detailed planning and logistics management to promote team engagement Maintain organized filing systems for medical office management records, HR files, and administrative documents to ensure easy retrieval and compliance Qualifications Proven experience in office management or administrative roles with strong clerical skills and organizational abilities Supervising experience preferred; capable of guiding team members effectively Familiarity with QuickBooks accounting software and basic bookkeeping practices Excellent communication skills with a professional phone etiquette and ability to handle multi-line phone systems confidently Strong skills in schedule management, calendar coordination, and vendor relations Knowledge of human resources processes including payroll administration, onboarding, and employee support Experience in medical office management or healthcare-related administrative tasks is a plus Demonstrated ability to multitask efficiently in a fast-paced environment while maintaining attention to detail Proactive approach to training & development initiatives to foster team growth Join us in creating a vibrant workplace where your organizational talents and energetic spirit make a real difference!
