POSITION OVERVIEW RM
Mechanical is seeking a highly organized, service-driven HR Coordinator to own the full lifecycle of field employees from initial dispatch through final separation. This is a critical role that directly shapes the first and last impressions our employees have of RM Mechanical. The coordinator ensures that all hiring, dispatching, onboarding, and offboarding activities are executed accurately, with urgency, and with professionalism. This position serves as the primary point of contact bridging field employees, field leadership, payroll, accounting, and union representatives — and is instrumental in keeping our workforce of approximately 600 employees moving efficiently. The ideal candidate is a self-starter who thrives in a fast-paced construction environment, takes ownership of their work, and understands that people are at the center of this role. This position reports directly to the CFO and works in close daily collaboration with the Controller, Payroll Clerk, and field leadership.

With over 400 union employees and an active field workforce spread across multiple projects, RM Mechanical depends on this role to: ▸ Ensure zero delays in getting field employees hired, documented, and on-site ready ▸ Maintain compliance with union agreements, wage & hour regulations, and company policy ▸ Protect the company from risk through accurate, timely documentation ▸ Represent RM Mechanical with professionalism at every employee touchpoint
DUTIES & RESPONSIBILITIES
Field Employee Onboarding ▸ Receive, verify, and process dispatches for new field employees from the union hall and direct hires ▸ Coordinate and conduct onboarding meetings, ensuring a professional and welcoming experience for every new hire ▸ Collect, review, and process all required new-hire paperwork, compliance documents, acknowledgment forms, and benefits enrollment materials with accuracy and strict adherence to deadlines ▸ Communicate clearly with new employees and field leaders regarding onboarding requirements, schedules, project assignments, and next steps ▸ Administer or coordinate pre-employment and project-required drug testing in compliance with company policy and applicable regulations ▸ Liaise with union hall representatives on dispatches, union membership verification, and related hiring matters for our union workforce ▸ Support non-union employee onboarding, including explanation and enrollment of benefits packages ▸ Serve as the primary first-contact resource for new employee questions throughout the onboarding process Field Employee Offboarding ▸ Process all employee terminations, layoffs, and voluntary separations in a timely and compliant manner ▸ Issue required dispatch notifications, termination notices, and associated documentation to the union hall ▸ Coordinate final pay documentation and required communications with payroll and accounting to ensure timely final paychecks ▸ Manage the return of company property, revocation of system access, and other offboarding checklist items ▸ Maintain organized, audit-ready records related to all employee separations Employee Support & Administration ▸ Serve as a responsive and reliable point of contact for field employee HR-related questions and administrative needs ▸ Communicate proactively with field superintendents and project managers regarding workforce status, documentation, and scheduling ▸ Process verifications of employment (VOE) and related employment confirmation requests ▸ Generate and distribute reports related to onboarding activity, offboarding status, headcount, and compliance tracking ▸ Maintain accurate, organized employee records within Viewpoint Spectrum and any associated HR or document management systems Office & Administrative Support ▸ Assist with front-office coordination and visitor access management as needed ▸ Support general administrative tasks and special projects as assigned by the CFO, Controller, or other members of leadership ▸ Identify process gaps or inefficiencies and proactively recommend improvements Key Internal Relationships This position works in close daily collaboration with the following: ▸ CFO — Direct supervisor; strategic direction, escalation, and policy guidance ▸ Controller — Coordination on payroll-adjacent processes and compliance items ▸ Payroll Clerk — Final pay coordination, timekeeping documentation, and new-hire data ▸ Accounting Manager / Project Accounting — Employee cost coding, project assignments ▸ Field Leadership (Superintendents, Foremen, PMs) — Daily workforce coordination ▸ Union Hall Representatives — Dispatches, terminations, and membership matters ▸ Benefits Providers — Enrollment, changes, and employee inquiries
POSITION QUALIFICATIONS
Required ▸ 2+ years of experience in HR coordination, administrative support, construction administration, payroll support, or a related field ▸ Experience working with union employees or in a union-signatory construction environment strongly preferred ▸ Demonstrated ability to manage confidential employee information with absolute discretion and professionalism ▸ Strong attention to detail with a proven track record of accurate, timely documentation ▸ Excellent written and verbal communication skills; able to communicate effectively with field employees, office staff, and external partners ▸ Proficiency in Microsoft Office Suite (Word, Excel, Outlook); comfortable learning company-specific software ▸ Strong organizational skills with the ability to manage multiple competing priorities in a deadline-driven environment ▸ Ability to work independently while proactively keeping leadership informed of issues, delays, or risks Preferred ▸ Prior experience with Viewpoint Spectrum or similar construction ERP/HR software ▸ Bilingual (English/Spanish) is a plus, given the composition of our field workforce ▸ Familiarity with prevailing wage, certified payroll requirements, or construction labor compliance
