The ideal candidate is highly organized, detail-oriented, and possesses strong interpersonal skills to deliver a seamless and engaging experience for new hires. Responsibilities Training & Onboarding Coordination Organize and execute training sessions at assigned branches. Process walk-in applicants, ensuring their information is correctly entered into the system, and maintain a detailed log of walk-in applicants. Schedule applicants for interviews and training, ensuring compliance with organizational and regulatory standards. Follow up on all scheduled applicants on the orientation Calendar. Complete and file all required documentation in both digital and physical formats. Software Enrollment Ensure proper setup of caregiver availability in AxisCare and assist with app installations on caregiver phones. Ensure Caregivers understand the need to always clock IN and OUT on AxisCare. Enroll caregivers in the direct deposit portal or Wisely Card and guide them through system use. Caregiver Engagement & Compliance Serve as the primary point of contact for applicants and new hires, ensuring a welcoming onboarding experience. Facilitate the intake process, verify certifications, and communicate compliance requirements and deadlines. Maintain compliance logs for certifications and set calendar reminders to ensure renewals. Communicate policies, including the No Call No Show policy and its consequences, the HIPAA policy, and the organization's Code of Conduct, ensuring that all new hires understand and acknowledge these critical guidelines. Administrative & Support Functions Maintain an organized filing system for training records, certifications, and HR-related documents. Respond promptly to phone and email inquiries about training, onboarding, or general employment information. Ensure daily updates of applicant and caregiver spreadsheets. Document caregiver availability accurately in AxisCare. Commitment to Quality Improvement Submit timely and accurate reports, populate spreadsheets, and update onboarding and training records. Identify and implement improvements to enhance work efficiency and effectiveness. Ensure all tasks meet professional standards and organizational requirements. Customer Service & Confidentiality Provide exceptional service by addressing applicant concerns professionally and proactively resolving issues. Uphold strict confidentiality when handling applicant documents and sensitive information. Additional Duties Collaborate with branch managers, client coordinators and the receptionist where applicable to ensure smooth onboarding transitions and report training progress and also for efficient check distribution. Perform other duties as assigned by the manager. Requirements High school diploma or equivalent. Bilingual Spanish CNA certified Past experience in intake or medical office administration. Strong affinity for customer service. Excellent organizational and time-management skills. Great communication skills. Proficient computer literacy.
