POSITION OVERVIEW
Westwood Public Schools seeks a Human Resources Assistant to join our team in the district office. This position provides essential support to the Director of Human Resources and district leadership, assisting with talent management, benefits administration, compliance tracking, and HR programs. The HR Assistant serves as a primary point of contact for employees, applicants, and stakeholders while ensuring smooth HR operations. The ideal candidate will demonstrate strong organizational skills, attention to detail, technological proficiency, and the ability to handle sensitive information with discretion.
QUALIFICATIONS
Some post-high school education required; Bachelor's degree preferred Experience in K-12 education, human resources, or a related field preferred Strong verbal and written communication skills Proficiency in Google Suite (Docs, Sheets, Slides) and Microsoft Office Suite Experience with HRIS systems, (Powerschools Suite, Frontline, and ASPEN) preferred Ability to handle confidential information with discretion Strong problem-solving, organizational, and time management skills Commitment to diversity, equity, and inclusion
RESPONSIBILITIES
Talent Management & Recruitment Track open positions and manage job postings on online platforms Coordinate recruitment efforts, including organizing applications, scheduling interviews, and preparing offer letters Maintain applicant tracking systems (eg, PowerSchools Suite, Frontline, ASPEN), train internal users, and assist applicants Manage the onboarding process for new employees and the offboarding process for existing employees Maintain digital and physical employee records from onboarding to separation Track completion of mandated training and screenings for all staff Manage the short-term substitute teaching workforce HR Operations Serve as the first point of contact for HR inquiries, maintaining a professional and welcoming environment Handle confidential correspondence and reports for the Director of Human Resources Assist with benefits administration and other HR programs Support annual reviews of staff credentials, certifications, and renewals Manage graduate credit and tuition reimbursement processes, including salary adjustments and documentation Maintain HRIS and personnel records while ensuring data accuracy Troubleshoot performance issues related to PowerSchool Suite and Frontline software Work with the Data Specialist to complete all state reporting requirements Employee Engagement & Special Events Assist in planning and organizing events such as the Professional Status Reception, Staff Appreciation Day, and Retirement Reception Maintain and update the HR Department website regularly Support labor relations, including maintaining union-related documents and assisting with labor negotiations Support for Teaching and Learning Assist the Assistant Superintendent in all aspects of tracking and payment for curriculum and instructional projects Assist with organization and resources related to professional development Order and distribute supplies related to curriculum and PD initiatives Familiarity with licensure requirements Maintaining seniority report General Administrative Support Manage the Director of HR's schedule Generate and distribute form letters, emails, and other regular communications Track budget expenditures and manage purchase orders (POs) for the Office of Human Resources and Office of the Assistant Superintendent Review draft content for letters, presentations, and publications Work as part of the Human Resources and Central Office teams to support HR initiatives Organize and maintain records, databases, and tracking systems Provide administrative support to the Director of Human Resources and collaborate on special projects Assist with administrative tasks and responsibilities as assigned Personal Qualities Communicates clearly and professionally Committed to professional and organizational improvement Creates a welcoming environment for staff, students, families, and visitors Ability to multi-task and work in a fast-paced environment Job Environment Work takes place primarily in an office environment, with occasional travel to other district locations (school buildings and grounds) Physical Requirements The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job.
