Workforce Administration Coordinator Job Description The Workforce Administration Coordinator provides comprehensive recruiting, onboarding, human resources, accounting, and general administrative support for a large hourly workforce in a manufacturing plant. In this role, you partner closely with plant leadership, hourly team members, corporate functions, staffing agencies, and external service providers to ensure smooth hiring processes, accurate payroll and accounts payable activities, and effective HR administration. You play a key role in supporting plant operations by coordinating hourly recruiting, maintaining employee records, facilitating orientations, and assisting with plant safety and general administrative initiatives. Responsibilities Assist with recruiting and workforce support for the plant's hourly employees, including screening, scheduling, and tracking applicants. Participate in local hiring events to support high-volume hourly recruiting needs. Track in-process hiring and coordinate communication between staffing agencies and plant leadership regarding recruiting, hiring, and administration of hourly employees. Receive and route calls from candidates, responding to inquiries about the company, benefits, work hours, and questions related to applications and hiring. Schedule and facilitate new employee orientations for hourly team members and ensure all required onboarding paperwork is completed and processed through payroll and benefits systems. Execute the submittal of weekly hourly payroll data accurately and on time. Prepare and distribute management reports related to payroll and respond to leadership requests and inquiries regarding payroll systems and processes. Provide front-line support to hourly plant employees for HR administrative matters, including employee questions and requests, policy communication, leave of absence administration, benefits enrollment, policy signoffs, and pay statements. Coordinate with Human Resources and Workforce Development contacts to ensure timely and accurate resolution of employee issues. Maintain accurate, complete, and confidential employee records and files in compliance with internal policies, procedures, and applicable state and federal regulations. Prepare invoices for processing, including purchase order matching, invoice coding, and data entry for accounts payable activities. Invoice rough and trim package billings on a weekly basis and tabulate rough and trim shipments on a monthly basis. Create, track, and update production Maintenance, Repairs, and Operations (MRO) records. Support general plant administration, including sending and distributing mail, ordering office and plant supplies, coordinating employee awards and lunches, assisting with company events such as picnics, and maintaining up-to-date information on employee bulletin boards. Provide administrative support for the plant safety program by generating reports and maintaining and distributing safety-related data, metrics, and reports. Cross-train with other department team members to provide back-up coverage and ensure continuity of operations. Collaborate with a small HR and workforce administration team supporting the plant's approximately 500 employees, including phone screening, hiring events, and employee relations support. Work effectively as part of a four-person team at the plant once all roles are filled, coordinating efforts and sharing information with corporate HR and workforce contacts across multiple plants. Travel to other plants and locations as needed to support workforce administration activities. Essential Skills 1-2 years of administrative support experience, preferably in recruiting and human resources. Experience supporting recruiting and screening of candidates, particularly for hourly or high-volume roles. Experience with new hire onboarding processes, including coordination of orientations and processing of required documentation. Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Experience with timekeeping and/or HRIS systems for payroll and employee data administration. Demonstrated ability to manage multiple tasks simultaneously, set priorities, and meet deadlines in a fast-paced environment. High level of attention to detail and accuracy in handling data, records, and reports. Experience handling confidential information with discretion and professionalism. Strong interpersonal and communication skills for interacting with candidates, employees, leadership, and external partners. Strong organizational, planning, and time-management skills. Reliability and initiative to work effectively in a professional team environment. Results-driven mindset with the ability to adapt to changing priorities. Willingness and ability to cross-train in other functions within the department. Ability to travel to other plants and locations as needed. Exposure in human resources, workforce support, benefits, or related fields. Additional Skills & Qualifications Bachelor's or Associate degree strongly preferred. Experience working in a manufacturing environment or supporting a plant workforce. Experience supporting employee relations activities for hourly employees. Familiarity with accounts payable processes, including purchase order matching, invoice coding, and data entry. Experience creating and tracking Maintenance, Repairs, and Operations (MRO) records or similar production-related documentation. Comfort working with metrics and reports, particularly related to payroll, safety, and workforce data. Ability to effectively support and coordinate with corporate HR teams and multiple plant locations. Interest in learning new systems, processes, and departments to broaden capabilities and provide back-up support. Demonstrated leadership potential or initiative in previous roles. Desire to grow within an organization that promotes from within and offers long-term career development. Work Environment This position is based in a manufacturing plant environment supporting approximately 500 hourly employees. The typical schedule is Monday through Friday, generally 7:00 a.m. to 4:00 p.m. or 7:00 a.m. to 3:30 p.m., with standard business hours and occasional flexibility as needed for hiring events or plant needs. You work on-site in close collaboration with plant leadership, production teams, and a small HR and workforce administration team dedicated to the plant, while also partnering with corporate HR based in another location and supporting workforce needs across multiple plants. The environment is fast-paced and team-oriented, with frequent interaction with employees on the plant floor, candidates, staffing agencies, and internal stakeholders. Standard office technology and tools are used, including Microsoft Office, HRIS and timekeeping systems, and other corporate systems for payroll, benefits, and accounts payable. Job Type & Location This is a Permanent position based out of Thurmont, MD. Pay and Benefits The pay range for this position is $53000.00 - $58000.00/yr.
