Schedule & Work Environment Monday through Friday, 8:00 AM - 5:00 PM 100% onsite in Duluth, MN Professional business casual environment What You'll Do Interview Coordination & Scheduling Coordinate phone, virtual, and onsite interviews across multiple departments Manage complex scheduling logistics involving candidates, hiring managers, and business leaders Send interview confirmations, meeting invitations, and candidate communications Assist with arranging candidate travel and accommodations when needed Ensure a professional and positive interview experience for all participants Candidate Experience & Communication Serve as a primary point of contact for candidates throughout the hiring process Provide timely updates, next steps, and scheduling information Welcome and host candidates during onsite interviews Support hiring managers and interview teams with communication and coordination Deliver a high-touch, customer-focused candidate experience Talent Acquisition Support Assist with job postings and applicant tracking system updates Review incoming applications and support candidate pipeline management Partner with recruiters and hiring managers to keep hiring activities moving efficiently Support recruiting events, career fairs, and talent acquisition initiatives as needed Pre-Employment & Onboarding Support Coordinate background checks, drug screenings, and other pre-employment requirements Assist with onboarding activities and new hire logistics Support I-9 processing and onboarding documentation Help ensure compliance and accuracy throughout the hiring process Administrative & Operational Support Maintain accurate records within recruiting and HR systems, including iCIMS and UKG Track interview activity, hiring progress, and recruiting metrics Assist with reporting, documentation, and audit preparation Process invoices and support vendor-related activities as needed Provide general administrative support to the Talent Acquisition and HR teams What You'll Bring 1-3+ years of experience in recruiting coordination, scheduling, administrative support, customer service, HR support, or a related field Exceptional organizational skills and attention to detail Strong communication skills with the ability to interact professionally with candidates, executives, and business leaders Experience managing calendars, scheduling meetings, and coordinating multiple priorities Professional presence and customer-service mindset Experience with ATS, HRIS, or scheduling systems preferred Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint) Ability to work independently while managing multiple tasks in a fast-paced environment Preferred Backgrounds Candidates may come from a variety of professional backgrounds, including: Recruiting Coordinator Talent Acquisition Coordinator HR Coordinator Administrative Coordinator Executive Assistant Scheduling Coordinator Project Coordinator Customer Success Coordinator Office Manager Human Resources Assistant Why You'll Love This Role Opportunity to support hiring initiatives without carrying a full recruiting desk Significant interaction with candidates and business leaders Collaborative, team-oriented environment Exposure to talent acquisition, HR operations, and onboarding processes Opportunity to build valuable recruiting and HR experience Potential pathway to longer-term opportunities Also Known As (for Search Visibility) Recruiting Coordinator
