Human Resources & Scheduling Coordinator Rochester Gymnastics Academy (ROGA) Rochester, MN Job Details Full-time From $25 an hour 9 hours ago Benefits Health insurance Dental insurance Paid time off 401(k) matching Employee discount Retirement plan Qualifications Computer operation Computer skills Productivity software Full Job Description This role is ideal for someone who is organized, detail-oriented, people-focused, and comfortable working in a fast-paced environment with a large team of part-time and full-time employees. No gymnastics experience is required. We are looking for someone who can help keep our staffing, scheduling, onboarding, payroll, training, and employee communication systems running smoothly. This position works directly under the Facility Director and plays an important role in supporting both employees and management. Key Responsibilities Employee Scheduling & Coverage Manage employee schedules for a staff of approximately 50 employees Update employee availability and scheduling notes Assist with finding coverage when employees call in, mark absent, or drop shifts Monitor schedule changes and help ensure appropriate coverage for classes, camps, events, and programs Communicate professionally with staff regarding scheduling needs and expectations Timecards, Payroll & Employee Records Review timecards and prepare payroll-related information Add approved missed punches and correct timecard issues Track reimbursements, meet pay, choreography pay, and other payroll-related adjustments Assist employees with payroll, ADP, benefits enrollment, and basic employment questions Maintain accurate employee records and documentation Hiring & Onboarding Assist with job postings, applicant communication, interview scheduling, and hiring paperwork Help onboard new employees and ensure required paperwork is completed Track training progress, certifications, background check requirements, and USAG compliance items Ensure new employees understand scheduling, attendance, training, and workplace expectations Employee Reviews, Accountability & Compliance Schedule employee reviews and assist with raise tracking Help prepare and document employee write-ups, attendance concerns, and performance issues Track attendance points for tardiness, absences, dropped shifts, and other policy violations Maintain organized documentation for employee performance and disciplinary records Support a workplace culture that is professional, fair, consistent, and respectful Safety, Incident & Insurance Support Review camera footage when needed for incident reports or documentation Assist with incident report follow-up and insurance-related paperwork Prepare reports or documentation requested by insurance providers Help ensure records are organized and accessible when needed Purchasing, Supplies & Inventory Assist with purchasing supplies and facility items as needed Help maintain inventory of staff, office, program, party, and facility supplies Track supply needs and communicate when items need to be reordered What We Are Looking For The right person for this role is someone who can balance structure with approachability. Many of our employees are young, part-time, or new to the workforce, so we need someone who can build positive relationships while still holding staff accountable.
A successful candidate will be:
Highly organized and detail-oriented Comfortable managing many moving pieces at once Professional, calm, and consistent in communication Able to maintain confidentiality Comfortable having direct but respectful conversations with employees Good at building trust with staff without being intimidating Able to follow policies and document issues accurately Comfortable using scheduling, payroll, email, spreadsheets, and online systems Able to work independently while also taking direction from leadership Preferred Experience Experience in HR, people operations, office management, scheduling, payroll, or administrative coordination Experience managing schedules for a team of employees Experience working with young staff, part-time employees, coaches, instructors, or service-based teams Experience with ADP, When I Work, Google Workspace, or similar systems is helpful but not required Experience in a gym, school, childcare, recreation, sports, hospitality, or fast-paced facility environment is a plus Requirements Full-time availability Strong computer and communication skills Ability to maintain confidentiality and handle sensitive employee information Ability to stay organized in a busy environment Professional judgment and strong follow-through No gymnastics knowledge required Why Join ROGA?
