Position Overview Position Summary:
Under general supervision, provides a variety of administrative services for the University in support of the day-to-day operations of the Human Resources Department.
Requirements Duties and Responsibilities:
Responsible for operational and technical personnel duties to include, but not limited to:
Process paperwork for new employees, including I-9 compliance
Computer entry and file maintenance
Assist with NEOGOV database, including but not limited to routing applications
Process and manage workers' compensation program and OSHA reporting requirements
Welcome and provide guidance to employees and the public regarding personnel matters, including the interpretation of general HR policies and procedures
Assist with new employee orientation for customers
Update and maintain HR Portal forms
Responsible for the maintenance of confidential personnel files
Maintain computer employee data information
Answer telephones and provide accurate information to callers
Conduct employment verifications
Assist with various personnel projects, including but not limited to leave administration and timesheets
Establish and maintain various reports and documents to provide current personnel information
Responsible for the maintenance of HR archived files
May supervise and train student employees
Regular and predictable attendance is required
Perform other duties as assigned
Minimum Job Requirements:
A high school diploma or equivalent certificate, along with a minimum of two years of related experience, is required. Experience in higher education, human resources, or a related field is preferred.
Knowledge, Skills, and Abilities:
Ability to work with sensitive information and to maintain high standards of confidentiality at all times
Ability to maintain effective working relationships with employees, other agencies, and the public
Ability to follow written and verbal instructions
Ability to pay attention to detail
Ability to multitask
Ability to communicate effectively orally and in writing
Ability to perform routine and moderately complex clerical tasks rapidly and accurately
Knowledge of computer-based programs to include experience with database queries and report writing, HRIS entry, maintenance, and Microsoft Office
Knowledge of procedures and regulations established, and maintain effective working relationships with others
Knowledge of Worker's Compensation state regulations and processes preferred
Knowledge of general payroll principles and methods
Working Conditions Physical Demand and Working Conditions:
Work is primarily sedentary in nature that at times requires exerting up to 25 pounds of force occasionally and/or a consistent amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
This position is based on the main campus in Portales and typically follows a Monday through Friday 8-5 schedule, with occasional local travel to a nearby archive storage facility.
