Limited Full-Time (260 Days) Position Overview The Human Resource/Fiscal Assistant provides high-level administrative support by managing office operations, complex scheduling, and comprehensive fiscal tasks like payroll and accounts receivable. You will serve as a key departmental liaison, handling human resources functions such as recruiting and background checks while maintaining sensitive, confidential records. The position requires a professional who can independently manage multiple priorities using advanced software tools to support essential functions within the District.
Key Responsibilities:
Provide comprehensive administrative and clerical support, including composing, proofreading, and processing correspondence; preparing reports, presentations, and documentation; and performing general office duties such as record keeping, copying, filing, mailing, and data entry. Coordinate office operations and scheduling, including maintaining calendars, arranging meetings and appointments, handling phone calls, and supporting travel logistics for staff and students. Support human resources functions, including recruiting, posting positions, scheduling interviews, conducting reference/background checks, and communicating job-related information to applicants. Assist with fiscal operations, including payroll, accounts payable/receivable, requisitions, and the preparation and management of financial and statistical reports. Maintain organized filing systems and records in compliance with retention policies, ensuring confidentiality and secure handling of sensitive and privileged information. Collaborate with administrators and staff to support departmental initiatives, identify needs, resolve problems, and keep leadership informed of relevant issues and concerns. Demonstrate professionalism and strong interpersonal skills by building positive relationships with students, parents, staff, and the community, while promoting partnerships that enhance programs and services. Utilize technology effectively, including Microsoft Office, Google Workspace, content management systems, and other software applications, while adapting to new tools as needed. Exhibit strong organizational, multitasking, and independent work skills; maintain accuracy and productivity; and adhere to safety, ethical standards, and organizational policies. Comply with all legal requirements, including reporting suspected child abuse, and uphold board policies, procedures, and organizational core values. Perform other duties as assigned.
QUALIFICATIONS
Associate Degree preferred. Two years of experience in a related office environment is preferred. Excellent customer service skills required. Proficiency in operating office equipment and using modern office technology, including Google Workspace, Microsoft Office, internet browsers, and virtual meeting platforms. Effective written and verbal communication skills, including the ability to compose professional correspondence and communicate complex information to administration. Ability to read, analyze, and interpret financial reports, apply mathematical concepts (fractions, percentages, ratios), and use critical thinking to define problems, collect data, and draw valid conclusions. Exposure to the following situations may range from remote to frequent, depending on circumstances and unpredictable factors. Duties may require lifting, carrying, and moving work-related supplies/equipment up to 60 lbs. Duties may frequently or occasionally require performing repetitive tasks quickly, using fingers and hands. Duties may require frequent or occasional use of the computer keyboard and monitor. Duties may frequently require standing, reaching, bending, crouching, and/or kneeling. Duties may require working extended hours. Duties may require working under time constraints to meet deadlines. Potential for exposure to blood-borne pathogens and communicable diseases.
