SAFETY SENSITIVE
Yes This classification is a safety-sensitive position as defined by the United States Department of Transportation drug and alcohol testing regulations and/or the Oklahoma Standards for Workplace Drug and Alcohol Testing Act. As a safety-sensitive classification, you will be subject to drug and alcohol testing, including random testing. Marijuana is one of the substances included in the drug panel screening. Possession of a medical marijuana certification will not excuse you from the testing process, or the consequences of testing positive for marijuana.
PRIMARY OBJECTIVE OF POSITION
The primary objective of the Human Resources (HR) Assistant is to support the daily operations of the Human Resources Department by performing administrative, clerical, and technical duties that promote efficient HR processes and responsive service to employees and applicants. This position maintain employee records, assists with recruitment and onboarding activities, supports benefits and leave administration, and contributes to the accuracy, confidentiality, and overall effectiveness of HR functions.
ESSENTIAL JOB FUNCTIONS AND MAJOR AREAS OF ACCOUNTABILITY AND PERFORMANCE
: Provide administrative support to the HR Director and HR Department, including, but not limited to, preparing correspondence, memoranda, reports, requisitions and other documents. Assists with conducting telephone inquiries and surveys as needed. Serve as a first point of contact for general employee inquiries. Direct employees to appropriate HR staff or resources. Maintain a friendly, professional, and confidential demeanor. Maintain files and records in an organized and confidential manner. Retrieve, compile, and prepare information for timely reports. Greet office visitors, answers telephones, takes messages, and perform general office duties, including filing, typing and data entry. Coordinate travel arrangements and itineraries for HR Department staff attending training seminars, meetings, and other business-related events. Post job openings, manage employment applications, and coordinate interview schedules. Assist with and conduct applicant interviews. Coordinate and schedule pre-employment and post-accident drug screenings and physical examinations. Prepare new hire packets and conduct onboarding and orientation activities for new employees. Maintain employee information in HR systems and ensure compliance with records retention requirements. Physical demands may include standing, walking, stooping, bending, prolonged sitting, and lifting up to 35 pounds (greater with assistance). Proficiency in computer applications and systems is required. Work is performed primarily in an office environment where conditions are generally controllable. Possess and maintain a valid Oklahoma Driver's License. Perform other duties as assigned
Minimum Qualifications:
Graduation from high school or possession of a GED equivalent. Two (2) or more years of experience in Human Resources, personnel administration, or a closely related field. Proficiency in Microsoft Office Suite and other computer applications commonly used in an office environment. Ability to handle sensitive and confidential information with discretion and maintain strict confidentiality. Must possess and maintain a valid Oklahoma Driver's License and maintain a status of insurability. Ability to obtain Oklahoma Notary Public commission within six (6) months of hire.
EXAMPLES OF PERFORMANCE CRITERIA AND EXPECTATIONS
Coordinates and assists with the preparation and posting of job opening announcements. Collect employment applications and coordinate interview schedules. Demonstrate proficiency in computer applications and maintain a high level of accuracy in data entry. Exercise initiative, sound judgment, and self-motivation in identifying and resolving problems Assist with and conduct onboarding and orientation activities for new employees. Maintain personnel files, medical records, and other confidential information in accordance with applicable policies and records retention requirements. Perform other duties as assigned.
