We are currently seeking a Senior Administrative Specialist to join our Office of Administration Department in a full-time consulting role. The incumbent will be responsible for a wide variety of administrative and personnel functions related to compensation, employee onboarding and offboarding, and personnel management. This Specialist will need to work with considerable independence utilizing interpersonal communication via phone, e-mail, voicemail and in writing to collect/disseminate information, resolve problems and escalate questions appropriately. If hired for this position, you would be an employee of our partner agency, Donnelly-Boland & Associates working onsite at Allegheny County DHS. Duties & Responsibilities Work in collaboration with DHS Talent Acquisition team to assist with working directly with new hires and transfers to ensure they are sent e-mail notifications including but not limited to: new hire appointment letters/orientation packets and other required documents needed prior to approving start dates. Complete additional onboarding and offboarding tasks various HR systems Work directly with the HR team to assist and support needs for new hire orientation including creating binders, reserving conference rooms, and entering staff in the internal security system. Assist with posting positions on our internal HR platform, BambooHR Collaborate with hiring managers and staffing agencies on the development and execution of recruitment plans and selection processes. Post requested positions to external job boards such as Indeed or LinkedIn. Confirms data accuracy and audit and flag any discrepancies to the DHS Talent Acquisition team. Manage the administrative functions of our CYF Clearance Report and Audit Process to ensure communication is sent as directed in advance of any expiring FBI, Child Abuse and Criminal Clearances. Review, analyze, and develop necessary operational policies and procedures according to state, federal, and county mandates and regulations. Education/Experience Requirements Bachelor's degree preferred 3 or more years of experience in a senior level administrative role. Experience in recruitment and talent acquisition practices, preferred. Experience utilizing multiple technology platforms including but not limited to: HRIS Systems, MS Office Suite (Adobe, Excel, etc.), and social platforms (LinkedIn, Indeed, etc.). Why DHS?
