Job Description

The Human Resources Assistant is responsible for providing administrative and operational support to the Human Resources department. This position assists with onboarding, employee records, employee relations intake, compliance processes, and day-to-day support for the HR team. The HR Assistant serves as a first point of contact for employees with routine questions or concerns and helps ensure efficient and responsive HR operations throughout the agency.
Essential Duties & Responsibilities:
Onboarding & Employee Support:
Assist with onboarding of new hires, including paperwork, orientation scheduling, and first-day processes. Prepare new hire packets and ensure all required employment documents are completed. Assist with employee status changes, transfers, promotions, and separations. Respond to routine employee questions regarding policies, benefits, and HR procedures.
Employee Relations & HR Intake:
Serve as the initial point of contact for employee concerns, workplace issues, or complaints. Gather preliminary information and document employee concerns in a professional and neutral manner. Take detailed notes and provide documentation to HR leadership for review and follow-up. Maintain confidentiality regarding sensitive employee matters.
Administrative & HR Team Support:
Provide administrative support to the HR team and HR leadership. Maintain employee personnel files, digital records, and HR documentation. Assist with scheduling meetings, interviews, trainings, and employee appointments. Monitor HR inboxes, phone calls, and internal requests. Prepare letters, reports, spreadsheets, and other HR correspondence as needed.
Compliance & Operations Support:
Assist with tracking required trainings, licenses, certifications, and compliance deadlines. Support leave administration, benefits processes, and HRIS data entry as assigned. Assist with corrective action documentation and performance management processes. Help coordinate employee engagement activities, events, and recognition programs.
Additional Duties:
Perform other duties as assigned by HR leadership to support the Human Resources Department and agency operations.
Qualifications & Requirements:
Education & Experience:
High School Diploma or GED required; Associate degree preferred. Minimum of two (2) years of administrative or office experience required. Human Resources experience preferred.
Skills & Competencies:
Strong organizational skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. Strong attention to detail and confidentiality. Ability to remain professional and neutral when handling employee concerns. Strong problem-solving and follow-through skills. Proficiency in Microsoft Office (Excel, Word, Outlook). Experience with HRIS/payroll systems preferred.
