STARTING WAGE:
$24.60+ per hour (based on experience) This position is full time, 8 hours per day, year round and comes with paid time, paid holidays, paid vacation and is benefit eligible.
SUMMARY:
This position, under general supervision, provides administrative support to a Director in accordance with District policies, procedures, and guidelines. Responsibilities include prioritizing and executing complex, competing tasks; ensuring smooth workflow; and assisting with the coordinating the operations of the department. This position reports to a Director of Human Resources.
ESSENTIAL RESPONSIBILITIES

Work closely with the Director and department staff to prioritize department functions and plan schedules to meet deadlines, recommending action to improve standard operating procedure; Assists when and however necessary to accomplish department workloads; assists department team members with the completion of major projects as they arise. Schedule and coordinate meetings, appointments, and special events for the Director. This includes compiling meeting materials, scheduling rooms, recording and preparing minutes, and following-up on future agenda and action items. Answer, screen and prioritize internal and external visitor requests and/or phone calls referring inquiries to appropriate department staff as necessary or directly to the Director depending upon seriousness and/or urgency of the request; respond to general inquiries, complaints and requests for information; and assist in resolving issues and following up on them. Coordinate the flow of communications from the Director; proofreads and edits communication to assure it meets the highest standards of language use, clarity and effectiveness; processes timely replies on own initiative (routine) or from the Director's dictation or notes; assures confidential handling of all information. Collaborate with Human Resources team on projects focused on hiring, recruiting, benefits, compensation and other Human Resources related tasks. Ability to analyze data related to Human Resources concepts: retention, diversity, hiring statistics, benefit statistics, compensation, etc. Coordinate and process travel arrangements including the preparation and processing of expense reports; prepare itinerary and trip files. Monitor, reconcile and maintain the budget. Process requisitions, pay invoices, process staff development requests, order and maintain supplies and materials and approve appropriate expenditures.

EDUCATION and/or
EXPERIENCE
Associate Degree (preferably in Human Resources) with three to five years secretarial or administrative experience in a fast paced Human Resources office environment, or any combination of education and experience that provides equivalent knowledge, skills, and abilities focused on Human Resources. Valid driver's license. Bilingual in Spanish (preferred).
COMMUNICATION AND INTERPERSONAL SKILLS
Ability to comprehend and interpret a variety of documents including confidential files, health cards, reimbursable absence forms, computer manuals, student/parent handbook, etc. Ability to respond to common inquiries or complaints from students, staff. Ability to prepare a variety of documents using prescribed format and conforming to all rules of punctuation, grammar, diction and style. Ability to provide excellent customer service to a variety of audiences while responding to requests for information, explain procedures and follow instructions. Ability to communicate effectively with employees, students, parents, administrators, school staff, sales representatives, delivery persons, police officers, School Board members, nurses, the general public, and others verbally and in writing. Ability to work independently and multi-task in an organized manner and prioritize tasks to ensure completion of all job responsibilities within designated deadlines. Ability to maintain efficient workflow to meet tight deadlines. Demonstrated teamwork and customer service skills. Ability to maintain confidentiality and problem solve. Works cooperatively in a team environment and can manage and delegate as needed. Knowledgeable of all district, federal and state policies and procedures as required.
COMPUTER SKILLS
Proficiency in the usage of accounting, database software, internet software, e
- mail and word processing software.
Ability to proficiently use the following programs strongly preferred: MS Word, MS PowerPoint, Publisher, Excel, as well as proficiency in Google Applications. Ability to type accurately and proficiently. Working knowledge of office software systems, including knowledge of HRIS including payroll systems and applicable HR/payroll processes.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, divide and calculate decimals and percentages. Skilled in working with spreadsheet application and formulas.
ENVIRONMENTAL ADAPTABILITY
Ability to work effectively in an office environment. Occasionally required to work outside of normal school hours as needed for special events.
PHYSICAL REQUIREMENTS
Ability to operate a variety of office equipment including computer, photocopier, calculator, fax machine, telephone switchboard, etc. Must demonstrate proficiency through Skill Check testing (typing speed and accuracy, grammar, proofreading and MS Office word processing). Must have current physical on file with the District Office certifying applicant is able to meet all job qualifications or the ability to complete the physical within 30 days of start date. Ability to lift and/or move up to 30 pounds. While performing the duties of this job, the employee is regularly required to sit and talk or hear and occasionally required to stand; walk; and reach with hands and arms. Specific vision abilities required by this job include close vision and distance vision. Completion of a physical examination as required by Wisconsin Statute 118.25.
