Job Summary:
The Human Resources Coordinator (Certified) specializing in Educator Licensing and certified personnel plays a critical role in supporting, monitoring, and advancing the district's workforce. This position oversees educator licensure, alternative pathways, and compliance tracking while actively supporting recruitment, retention, and university partnerships. Additionally, the Coordinator provides vital support for internal employment investigations and background screening, and delivers high-level administrative support to HR Directors. Serving as a knowledgeable peer and mentor, this role bridges regulatory compliance, talent acquisition, and executive HR operations. Employees may be required to follow other job-related duties as requested, subject to all applicable state and federal laws. Essential Job Functions
Educator Licensing & Compliance Monitoring
Oversee all educator licensing areas, ensuring alignment with state regulations and district policies.
Develop individualized licensing plans for assigned educators and conduct a minimum of two progress check-ins per fiscal year.
Facilitate and oversee December licensing check-ins and the thorough completion of compliance checklists.
Provide direct mentoring, clarification, and structural guidance for educators seeking additional subject or grade-level endorsements.
Schedule, coordinate, and lead licensing-focused meetings, departmental briefings, and other essential HR operations. Manage certified licensing management system uploads and reporting, evaluate official transcripts, and provide dedicated assistance with credentialing pathways.
Assign and track licensing checklists and employment contracts within the TalentEd platform.
Evaluate applicant licensure status and alternative pathway progress to make informed hire recommendations to leadership.
Investigations & Employment Compliance
Assist in conducting internal employment investigations, including gathering relevant documentation, coordinating interview schedules, and maintaining secure, confidential records.
Support the review and assessment of criminal background checks and legal documentation related to employment eligibility.
Track investigation timelines meticulously and ensure proper, legally defensible documentation in strict accordance with district policy and statutory requirements.
Coordinate follow-up actions and official communications as directed by Human Resources Directors.
Recruitment, Hiring & Job Fairs
Assist with district-wide recruitment efforts, hiring initiatives, and district-sponsored hiring events.
Coordinate all event logistics, marketing materials, and booth setups for job fairs.
Participate in monthly staffing and operational coordination meetings with Edustaff and Human Resources Directors.
Support applicant tracking processes, TalentEd workflows related to educator hiring, and general onboarding coordination.
Conduct and support structured "stay interviews" to gather actionable data and improve district-wide educator retention.
Advise internal paraprofessionals, instructional aides, substitutes, and external candidates on accessible pathways to earning a professional teaching license.
Administrative Support to HR Directors
Provide executive-level administrative support to HR Directors to facilitate smooth daily operations.
Prepare professional correspondence, detailed reports, data summaries, and investigation summaries.
Maintain highly confidential personnel files, active investigation files, and administrative documentation.
Schedule meetings, manage complex administrative calendars, and prepare comprehensive meeting materials.
Assist with overarching HR compliance tracking and reporting, and perform additional duties as assigned.
University Partnerships & Student Teaching
Support university partnerships and maintain official Memorandums of Understanding (MOUs), ensuring robust communication with partner institutions.
Assist with the coordination of student teacher placements and facilitate clean lines of communication between universities and designated district staff.
Guide student teachers through their initial placement logistics, district onboarding processes, and early-career support.
Cross-Functional HR & District Support
Assist with grant-funded educator pipeline initiatives, ensuring accurate tracking and meeting all reporting deadlines.
Participate in instructional coach collaboration meetings to bridge the gap between HR compliance and classroom support.
Perform other professional duties as assigned by Human Resources leadership.
Attendance is an Essential Function of this Position
Physical presence at the worksite is an essential function of this position. The role requires in-person collaboration, direct interaction with team members, other staff, students, and/or guardians, and access to on-site equipment and resources.

Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
Education & Experience
Bachelor's degree in Education, Human Resources, or a closely related field is required Valid Educator License is required.
Deep, working knowledge of state licensure requirements, endorsements, and alternative pathways to licensure (such as the APPEL program).
Prior experience in educator mentoring, district recruitment, HR compliance, investigation support, or instructional coaching/support roles is highly desirable.
Key Competencies
Advanced understanding of state compliance frameworks and alternative certification rules.
Proven ability to support adult learners and guide professionals through complex, multi-year certification plans.
Ability to process sensitive information objectively, assess background check documents, and maintain accurate investigative timelines.
Strong background in managing calendars, drafting formal summaries, and organizing files for senior leadership.
Skill in coordinating materials and logistics for job fairs and district events.
High attention to detail regarding data tracking, file auditing, documentation, and reporting within system platforms.
Exceptional interpersonal communication skills, with a proven ability to maintain strict confidentiality and exercise impeccable professional judgment.
Working Conditions and Physical Requirements
Attendance at work is essential. This position works in a professional office environment.
The job occasionally requires light physical exertion including walking, standing, and other forms of light physical activity.
