Job Description
The first review of applications will be on April 16th Under the direction of the Human Resources Manager, provide responsible administrative and technical work of a confidential nature involving a variety of human resources functions and employee relations activities. Provide complex administrative and technical support to department staff; and coordinate processes related to department administration, including ordering office supplies and processing of invoices and assistance with budget reporting and expenditure monitoring, ordering department supplies, and special projects as assigned. Assist with recruitment and selection processes including Civil Service functions as assigned. Duties will include advertising jobs on NeoGov and other platforms; managing the recruitment process on NeoGov; providing follow-up information regarding employment opportunities to applicants; accepting and recording applications; guiding hiring supervisors through the Neogov hiring process; scheduling candidates for testing and interviews; preparing interview packets; and preparing application status letters and offer letters to applicants. Maintain database and spreadsheets for necessary personnel records and management reports; assist in the maintenance and routine administration of classification program; update employee/department list and performance evaluation schedule for supervisor notification; track applicant data for required reports; generate reports as directed; process personnel action forms and enter all new employee information and changes into computerized payroll/personnel/recruiting systems. Provide administrative support for the Independent Salary Commission, Civil Service Commission, and a variety of employee programs. Prepare files, correspondence, meeting agenda packets, forms and other documents as required. Assist in identifying current and future employee training needs and recommending cost-effective training programs; notify employees of upcoming training and schedule employee attendance; maintain records of attendance for inclusion in employee files. Communicate with a variety of supervisors, directors, employees and department staff regarding human resources activities, policies, issues and programs; communicate with outside organizations regarding benefit administration, recruitment, general practices, training, and professional services; respond to surveys, requests for information and employment verifications. Conduct research and compile data for various projects as assigned. Draft and word process correspondence, reports, and other documents as directed. Check reports, records and other data for accuracy, completeness and compliance with established standards.
OTHER REPRESENTATIVE DUTIES
Develop forms and other materials using computer graphics application. Prepare agendas and meeting notices as assigned. Attend meetings, takes notes and prepare minutes of meetings as required. Operate office equipment and machines such as personal computers, typewriters, calculator, copy machines, mail machines, fax machines to provide clerical assistance to personnel administration staff. Provides assistance to other departments as needed, and performs related duties as assigned.Any combination equivalent to:
Associate's Degree or equivalent college coursework and three years of progressively responsible complex administrative support. Human resources office experience involving public contact desirable. Public sector experience desirable.Knowledge of:
Organization, functions and activities of City departments and positions. Correct English usage, grammar, spelling, punctuation and vocabulary. Federal, state and local laws, rules and regulations related to assigned activities. Technical functions and operations of a human resources office. City personnel policies and procedures. Basic research methods. Modern office procedures and practices. Interpersonal skills using tact, patience and courtesy. Oral and written communication skills. Operation of office equipment including personal computers for word processing, spreadsheet and calendar applications; copiers and fax machines. Technical record-keeping techniques and requirements. Telephone techniques and etiquette.Ability to:
Read, interpret, apply, and explain rules, regulations, policies and procedures. Establish and maintain records and prepare reports. Enter employee data into personnel/payroll system. Maintain accurate and accessible records and filing system. Attend to detail in the preparation of records and reports. Establish and maintain cooperative and effective working relationships with others. Meet and greet the public in a positive, calm and courteous manner. Conduct research and organize and summarize findings. Coordinate programs and projects. Communicate effectively, both verbally and in writing. Work as a member of a service oriented team. Work independently with little direction. Maintain confidentiality of records and information as appropriate. Meet schedules and timelines with frequent interruptions. Physical ability to perform the essential job functions. Demonstrated ability to positively and effectively interact with diverse individuals to accomplish a common goal.Environmental Conditions and Physical Effort:
Work is performed primarily in an office environment, typically sitting at a desk for long periods of time. Employee may be exposed to noise from basic office equipment operation. Some lifting of light objects (up to 25 lbs) may be required.Similar remote jobs
