PRIMARY FOCUS
The Human Resources Assistant supports day-to-day HR operations by maintaining accurate employee records, coordinating recruitment and onboarding activities, and providing front-line support to employees. This role contributes to a positive employee experience by supporting engagement initiatives and ensuring efficient, compliant, and people-focused HR processes.
KEY RESPONSIBILITIES
The responsibilities for this position are provided at the highest level within the region and include, but not limited to, the following. HR Administration & Data Management
- Maintain accurate and up-to-date employee records, including attendance tracking and workforce data
- Maintain HR databases and personnel files, ensuring accuracy, organization, and confidentiality
- Provide administrative support across the employee lifecycle (new hires, job changes, leaves, and terminations)
- Prepare and process employee change documentation (e.g., reporting structure, compensation, shift, and location updates)
- Manage incoming mail and outgoing HR-related documentation
- Other HR administrative duties as assigned. Recruitment & Hiring Support
- Support full-cycle recruitment by posting job openings, screening candidates, scheduling interviews, and coordinating hiring processes
- Assist with pre-employment activities, including reference checks, drug screens, and background checks Onboarding & New Hire Experience
- Coordinate onboarding activities, including preparing new hire documentation and orientation schedules
- Coordinate first-day equipment setup (e.g., laptop, lockers, and required work tools)
- Support new hire orientation and training coordination to ensure a positive Day 1 experience Employee Support, Communication & Engagement
- Serve as a front-line HR contact by responding to employee inquiries and providing timely, accurate guidance
- Direct employees to appropriate resources and ensure effective issue resolution
- Welcome employees and visitors, providing professional front-desk support and managing walk-up inquiries
- Support internal and external HR communications to ensure consistency and clarity
- Contribute to employee engagement initiatives and activities HR Operations & Coordination
- Support planning and execution of employee engagement events, programs, and initiatives
- Coordinate logistics for meetings and events, including ordering refreshments and meals

DESIRED QUALIFICATIONS AND EXPERIENCE
- High school diploma required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
- 0-2 years of experience in an administrative or Human Resources support role (internships, co-op, or part-time experience considered)
- Strong attention to detail with the ability to maintain accurate and confidential employee records
- Effective communication skills, with the ability to interact professionally with employees and leadership
- Strong organizational skills and ability to manage multiple tasks in a fast-paced environment
- Proficiency in Microsoft Office (Word, Excel, Outlook); experience with HRIS systems (e.g., Workday) is an asset
- Demonstrated ability to handle sensitive information with discretion and professionalism
- Eagerness to learn HR processes and grow within the Human Resources function
- Bilingual (English/Spanish) is an asset

WORKING CONDITIONS
Office Setting:
This role will primarily work in an office environment, utilizing a computer and various software and tools to track progress, manage schedules, and communicate with team members.
External Visits:
Limited travel to other facilities/farms, within Canada and US.
Standard Hours:
Typically, this role will work standard business hours (e.g., 8 AM to 4:30 PM), but flexibility is required.
Extended Hours:
Occasional extended hours may be required to support events and travel
PHYSICAL DEMANDS

Exertion of physical strength to push, pull, move and lift objects up to 50 pounds from one level to another at varying heights. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.

Must possess the ability to read, analyze and interpret business and technical documents, flow charts, budget information, procedure manuals and so on; the ability to prepare required routine reports and correspondence; ability to communicate effectively with others, using skill and diplomacy and have the ability to work with all levels of the organization.
MATHEMATICAL SKILLS
Must possess the ability to add, subtract, multiply and divide, using whole numbers/decimals and the ability to apply concepts of business math and statistics to practical situations.
REASONING ABILITIES
Ability to apply common sense understanding to carry out detailed instructions furnished in written, oral, or diagram format. Must possess strong knowledge, understanding and experience in various problem-solving and participatory management techniques.
TECHNICIAL ABILITIES
Must possess knowledge and experience in automated systems and terminology and the ability to develop and interpret related reports using ERP, spreadsheet, word processing and graphics software. Requires the ability to operate a variety of standard business machines, such as a computer and keyboard, a calculator, telephone, FAX, photocopier and so on.
