As a working supervisor reporting into the Manager of HR Operations, this role provides leadership, oversight, and continuous improvement for the onboarding function. The Onboarding Supervisor ensures compliance, consistency, and efficiency across onboarding processes while serving as a subject matter expert and escalation point for complex onboarding matters. Key Duties and Responsibilities Onboard new hires Collaborate with HR, Payroll, IT, and Operations to coordinate all aspects of the onboarding process from offer acceptance through the first weeks of employment and ensure timely completion of onboarding tasks Prepare offer letters and process pre employment and new hire paperwork Manage the end to end I9 verification process, including E Verify submissions, alternate method verifications, federal/state compliance, and proactive deadline tracking to ensure zero non compliance risk. Serve as a primary point of contact for new hires, answering questions and ensuring a smooth transition Communicate onboarding progress, timelines, and key milestones with hiring managers and candidates to ensure alignment, manage expectations, and drive engagement. Lead the onboarding team Provide day to day supervision, guidance, and support to onboarding specialists Train new onboarding team members on processes, compliance, systems, and service standards Monitor workload distribution and ensure onboarding timelines and service expectations are met Act as the escalation point for complex onboarding issues, questions, or concerns Provide feedback, coaching, and performance input to support employee development Own and continuously improve processes Enhance the new hire experience and operational efficiency through process improvement and standardization Develop, update, and maintain onboarding documentation, job aids, and standard operating procedures (SOPs) Track onboarding metrics and identify trends, risks, or opportunities for improvement Partner with HR leadership to align onboarding practices with business growth and workforce needs This is not an exhaustive list of responsibilities. We work collaboratively and new responsibilities may be assigned over time.
Qualifications:
Knowledge, Skills & Abilities 2+ years of experience in onboarding, HR coordination, or administrative support roles preferred Prior experience leading, training, or mentoring others (formal supervisory experience preferred) Strong knowledge of I9 and E Verify Strong organizational skills and attention to detail Excellent communication and facilitation skills Highly organized with strong attention to detail Ability to manage multiple priorities and exercise sound judgment independently Ability to remain calm, organized, and focused while managing multiple competing priorities in a fast paced, dynamic environment Proficient with HRIS systems and Microsoft Office Physical requirements/Working Conditions While performing the duties of this job, the employee is regularly required to talk and hear. This position is very active and requires standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing all day. The employee must frequently lift and/or move items over 15 pounds. Able to work outdoors for extended periods of time in possibly extreme conditions, including rain, heat, sun, and wind.
