About the Role The People and Culture Coordinator serves as the primary administrative and onboarding support role for the People and Culture Department. This position is responsible for coordinating pre-employment and onboarding activities, maintaining employee records and HRIS data, supporting recruitment logistics, and assisting with employee engagement initiatives. The Coordinator helps ensure a positive employee experience by delivering responsive customer service, maintaining accurate documentation, and supporting the efficient operation of People and Culture programs and processes. The role supports PeopleCulture operations through coordination of pre-employment and onboarding activities, recruitment and hiring logistics, employee record management, HRIS administration, and employee engagement initiatives. The position also provides administrative support for department processes, employee communications, and retention-focused programs while helping ensure a positive and seamless employee experience. ESSENTIAL FUNCTIONSCORE RESPONSIBILITIES
OnboardingPre-Employment Coordinate and monitor all pre-employment requirements, ensuring candidates complete onboarding tasks in a timely manner. Serve as the main point of contact for candidates throughout the pre-employment and onboarding process. Prepare and distribute onboarding documentation and support completion of required employment paperwork. Assist with HRIS profile setup and employee data entry, ensuring accuracy and completeness. Coordinate orientation logistics, scheduling, materials, and new hire communications. Deliver a welcoming and engaging onboarding experience that supports successful employee integration. Maintain onboarding records and track completion of required employment requirements. Talent Acquisition Support Complete employment verifications for new hires and current employees. Support recruitment outreach efforts, hiring events, and job fairs. Assist with internship program coordination and related administrative activities. Employee Engagement Support employee engagement activities, including employee recognition programs, surveys, wellness initiatives, and team-building events. Assist with planning, coordinating, and promoting employee appreciation and recognition activities. Gather employee feedback and participation data to support engagement initiatives. Support internal communication efforts, including employee newsletters and department announcements. Respond to routine employee questions and direct more complex inquiries to the appropriate People and Culture team member. HR CoordinationAdministration Maintain and update personnel files and employee records in compliance with agency standards and recordkeeping requirements. Process employee data changes and maintain accurate information within the HRIS. Assist with audits, reporting requests, and data collection activities as assigned. Maintain department resources, templates, forms, and standard operating procedures. Support organizational chart updates and other department communications. Attend People and Culture meetings and trainings as requested. Provide general administrative support to the People and Culture Department.

Maintain confidentiality to ensure a safe environment for all. Demonstrate advanced proficiency in Microsoft Office tools including Outlook, SharePoint, Word, Excel, and PowerPoint. Demonstrate strong organizational, analytical, project management, and time management skills with the ability to manage multiple competing priorities and recruitment activities simultaneously. Have a basic understanding of the youth/customers served, complete trauma training, and apply this knowledge with empathy in their interactions. Required to attend at least two training courses related to being trauma informed in a twelve-month period. Other duties as assigned.

The position is based at the Francisco Campus located at 4833 N Francisco Ave, Chicago, IL 60625. Personal vehicle or reliable access to vehicle and the ability to travel to Lawrence Hall sites throughout Chicago is required. Required:
Bachelor's degree required; minimum of one (1) year of Human Resources, recruiting, administrative, or related experience preferred. Strong attention to detail and commitment to accuracy when managing employee information, records, and documentation. Excellent written and verbal communication skills, with the ability to communicate effectively with candidates, new hires, employees, leadership, and external partners. Demonstrated ability to build positive working relationships and collaborate effectively with employees, candidates, leadership, and stakeholders across the organization. Strong organizational and time management skills, with the ability to manage multiple priorities, meet deadlines, and adapt to changing business needs. Ability to provide timely follow-up and proactive communication throughout the onboarding process while delivering a high-quality candidate experience. Ability to maintain confidentiality and exercise sound judgment when handling sensitive and confidential information. Proficiency in Microsoft Office Suite and the ability to learn and effectively utilize HR-related systems and technology. Commitment to integrity, professionalism, and adherence to the Human Resources Code of Ethics and Lawrence Hall's Code of Ethics. Ability to provide exceptional customer service while projecting a caring, responsive, and professional demeanor. Valid Illinois Driver's License required. Must have no history of child abuse or neglect and the ability to successfully pass all required background checks and drug screenings.
Preferred:
Experience with HRIS, Applicant Tracking Systems, DocuSign, Paycom, or ApplicantPool preferred. Knowledge of Power Automate, workflow automation tools, or process improvement technology is strongly preferred. Compensation and Benefits Salary:
$46,000 to $51,000/year, based on experience. Average of 17-25 days PTO + 9 holidays Medical insurance
