Payroll Reception Including, but not limited to: Responsible for accurate and timely weekly payroll processing for facility. Processes and enters all new hires into HRIS system. Prepare and review payroll account reconciliations. Oversee the maintenance of current employee data systems, ensure all payroll information and records are maintained in accordance with statutory requirements. Calculates and processes miscellaneous payments such as bonuses and retroactive payments. Maintains payroll and related records including the use of vacations, holidays, sick days, and miscellaneous leaves of absence. Responsible for all HR filing, records maintenance and general overall department organization. Maintain consistency between policies, procedures, and practices for facility. Ensure compliance with all applicable federal and state laws. Work directly with Payroll Specialist and HR Specialist on special projects, open enrollment, benefits processing, 401K enrollment, ACA audits, mandatory notices and compliance reporting. Knowledgeable in PBJ, Mandatories, Competencies. Collaborate with healthcare team members to deliver comprehensive resident care in our facilities. Responsible for greeting visitors and guests to our facility, including maintaining the Visitor's Log and checking in vendors or other service providers. Receive and follow reception schedule/instructions from your supervisor and as outlined in our established policies and procedures. Answer telephone, determine nature of call and direct caller to appropriate individual or department. Receive requests from within the facility and locate personnel through paging system. Maintain a current file/listing of residents by name and room number, emergency phone members of on-call personnel, department extensions, key personnel, etc. Maintain a current listing of critical residents and/or residents who may not receive phone calls due to their condition. (May refer such calls to Nurse Supervisor/Charge Nurse.) Greet visitors. Direct to appropriate office and/or resident room. Ensue guests/visitors abide by existing rules and refuse admission to persons as directed. Assist with administrative duties as directed. (Includes typing, filing, posting accounts, etc.) Receive, sort, and distribute mail as directed. Excellent communication skills and the ability to multi-task in a fast-paced healthcare environment is required. Knowledge of Microsoft Office and prior experience with Scheduling Software required. The ideal candidate will also have previous organizational experience. Specific experience with Excel, On Shift, and Expense Watch is also a plus. All other duties as assigned. Skills Experience with HIPPA, state, and federal employment laws. Prior work with a geriatric population is also a plus. Previous management experience is also a plus. Candidates should show evidence of creativity, organizational skills and cheerful personality. Previous experience in long-term care or other healthcare setting is a plus. Experience working with Alzheimer's/Dementia patients a plus. Must be capable of maintaining regular attendance. Good verbal and written communication skills. Must be able to maintain confidentiality regarding employee, resident and company proprietary information. Must have the ability to relate professionally and positively and work cooperatively with patients, families, and other employees at all levels. Must possess computer skills of the types and at a level necessary to accomplish the job. Knowledge of HIPPA, and state and federal regulations. Excellent interpersonal skills for effective communication with patients, families, and healthcare teams. Strong organizational skills to manage multiple tasks efficiently.
