This position acts as a liaison between employees and insurance providers to resolve benefits-related issues problems and ensures effective utilization of plans and positive employee relations. This position provides administrative support to the HR function as needed (e.g., correspondence generation, record keeping, file maintenance, HRIS entry) and. Also, compiles and records employee time and payroll data to and process employee payroll checks. Essential Functions
  • Act as a resource for payroll/HR contacts to ensure their understanding and compliance with benefits and HR policies and regulations. Keep management advised of potential problem areas and recommend/implement solutions as appropriate.
  • Perform recruitment activities, including but not limited to posting available positions on public forums.
  • Interview and evaluate candidates for select positions. Maintain related records.
  • Initiate the completion of background checks and drug screenings using Intellicorp
  • Review the results of both reports to determine whether further action is needed.
  • Compose and mail application rejection letters when appropriate.
  • Conduct new-employee orientations and ensure documents are accurately attached to personnel files within the HRIS.
  • Enroll fingerprint in the timeclock for the purposes of time keeping.
  • Assist new employees with downloading, registering for, and navigating the Paychex Flex system.
  • Ensure employees gain an understanding of benefits plans and enrollment provisions.
  • Administer health and welfare plans, including enrollments and terminations. Process required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions. Serve as the COBRA administrator for the company.
  • Counsel employees (and potential employees/applicants) on plan provisions so that individuals can make informed benefits decisions.
  • Strive to ensure employee understanding of benefits programs by regularly generating communication and counseling employees/dependents as situations arise. Resolve employee complaints related to health and welfare plans, refer difficult or very complex complaints to manager as needed.
  • Provide necessary forms and guidance directly related to FMLA including but not limited to direct communication with the physician's office when needed.
  • Maintain accurate records as it relates to tracking hours utilized for FMLA reasons.
  • Manage annual open enrollment period. Arrange for distribution of plan summary materials and required notices, assist with communicating changes to employees. Process changes within deadlines.
  • Ensure accuracy of invoices received from staffing agencies prior to providing them to AP and communicate directly with agency representatives to resolve any discrepancies.
  • Process monthly billings from insurance providers. Review billings for accuracy, codes and advances for payment. Resolve discrepancies with carriers, payroll and the company.
  • Compile payroll data such as garnishments, vacation time, insurance and 401(k) deductions.
  • Contact various department supervisors for any missed times.
  • Monitor attendance, applying PTO when necessary to replace time missed.
  • Compile internal management reports from payroll system software.
  • Data entry related to job costing for payroll uploads and internal management reporting.
  • Compile and maintain union related information.
  • Process transfer of payroll data to payroll provider for issuance of employee paychecks.
  • Write, revise, edit and proofread company policies and procedures and related documents as needed.
  • Maintain accuracy and track reported work-related injuries on
OSHA 300
  • Provide support to supervisors as needed in relation to employee education and disciplinary action.
  • Provide ongoing face-to-face, telephonic, and email support to all employees when requested or needed.
  • Ensure the completion of employee evaluations upon the end of the probationary period. Use electronic benefits bulletin board and other vehicles to communicate information. Competencies
