The People & Culture Coordinator supports the day-to-day operations of the People & Culture department across all PAX Health locations. This role is responsible for supporting the full employee lifecycle, including onboarding support, HR compliance, personnel file management, training coordination, HRIS maintenance, performance review tracking, and employee support. This position requires strong organizational skills, attention to detail, discretion with confidential information, and the ability to manage multiple priorities in a fast-paced healthcare environment. The coordinator will work closely with leadership, practice managers, and employees to ensure smooth and compliant HR operations while supporting employee engagement and company culture initiatives. This is a hybrid role requiring presence approximately 3• days per week between the Mahwah and Fairfield office locations, with travel to additional PAX Health locations as needed.•Responsibilities:
Manage and administer the company's Learning Management System (LMS), including assigning training, monitoring completion status, maintaining training records, and generating compliance reports. Track employee milestones and maintain ongoing personnel documentation throughout the employee lifecycle. Coordinate onboarding processes for new hires, including creating and maintaining personnel files, preparing onboarding materials, tracking required documentation, and ensuring completion of onboarding tasks within established timelines. Support offboarding and termination processes, including final documentation, system updates, compliance tracking, and record maintenance. Maintain accurate employee information within HRIS and payroll systems, ensuring confidentiality, data integrity, and timely updates. Assist with 90-day reviews, six-month reviews, annual performance evaluations, KPI tracking, and completion reporting. Maintain organized and audit ready employee records in accordance with company policies and compliance requirements. Prepare and maintain spreadsheets, reports, trackers, and dashboards related to HR operations, training, compliance, and employee data. Support open enrollment administration and employee benefits communication. Respond to employee questions regarding HR policies, onboarding, payroll coordination, benefits, training requirements, and general People & Culture matters. Assist with attendance tracking, documentation follow up, and related administrative reporting. Support employee engagement initiatives, internal communication efforts, and culture related activities. Collaborate with leadership and department managers to ensure consistency in HR processes and compliance standards across locations. Travel to various company locations as needed to support operational and People & Culture initiatives. Perform additional administrative and operational duties as assigned by the VP of People & Culture. Abide by PAX Health's Code of Ethics and model company values at all times.Requirements:
Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field preferred. Equivalent professional experience may be considered. Minimum of 2 to 3 years of Human Resources, People Operations, administrative coordination, or related experience required. Prior experience supporting onboarding, employee records management, HRIS systems, compliance tracking, or training administration strongly preferred. Experience working in healthcare, behavioral health, or multi site organizations preferred. Strong understanding of employee lifecycle processes, including onboarding, performance management, personnel documentation, and HR compliance standards. High level of proficiency in Microsoft Excel, including spreadsheets, formulas, trackers, reporting, and data organization. Experience working with HRIS, payroll, LMS, or workforce management systems preferred. Exceptional organizational skills with the ability to manage multiple deadlines, priorities, and confidential information simultaneously. Strong attention to detail and ability to maintain accurate records and documentation. Excellent verbal and written communication skills with strong interpersonal and customer service abilities. Ability to work independently while collaborating effectively with cross functional teams and leadership. Comfortable working in a fast paced, high-volume environment with changing priorities. Ability to travel between office locations within New Jersey/New York as needed. SHRM-CP, PHR, or related HR certification preferred but not required.
