In this pivotal role, you will oversee workforce operations, ensure compliance with company policies and regulations, and drive quality initiatives that enhance overall efficiency and performance.
Position Summary:
We are seeking a proactive and detail-oriented Workforce Compliance & Quality Assurance Supervisor to join our team. In this pivotal role, you will oversee workforce operations, ensure compliance with company policies and regulations, and drive quality initiatives that enhance overall efficiency and performance. The Workforce Compliance & Quality Assurance Supervisor is responsible for overseeing workforce reporting, regulatory compliance, and documentation integrity across departments. This position monitors timekeeping practices, attendance tracking, and internal reporting to ensure alignment with federal, state, and organizational standards. This role also oversees compliance documentation such as staff certifications, licenses, and regulatory records to ensure the organization remains audit-ready at all times. The Supervisor works cross-functionally with Operations, Human Resources, and program teams to identify compliance risks, conduct internal audits, improve reporting processes, and support staff education regarding compliance expectations. Through careful monitoring, data analysis, and collaboration, the Workforce Compliance & Quality Assurance Supervisor helps maintain operational accuracy, regulatory alignment, and strong internal accountability systems.
Duties and Responsibilities:
Support operations, human resources, and compliance departments Provide cross-departmental support for workforce tracking, compliance documentation, and operational processes to ensure daily functions run smoothly and efficiently. Monitor employee timekeeping and attendance reporting Review timecards, verify schedule accuracy, monitor attendance trends, and ensure employee hours are properly documented and submitted in accordance with company policies. Identify discrepancies in workforce reporting Review reported hours, schedules, and attendance records to identify inconsistencies or irregularities and escalate issues to appropriate leadership when necessary. Ensure compliance with labor laws and workforce regulations Monitor organizational practices to ensure adherence to the Fair Labor Standards Act (FLSA) and other applicable federal and state labor laws governing workforce management. Maintain accurate workforce and compliance documentation Oversee the organization and maintenance of confidential records related to attendance, leaves of absence, disciplinary actions, certifications, licenses, and compliance verifications. Track certification, license, and permit expiration dates Maintain tracking systems to monitor required renewals and coordinate with staff to ensure documentation remains current and compliant. Conduct internal compliance audits Regularly review employee records, timekeeping systems, and internal documentation processes to verify compliance and identify areas that may require corrective action or improvement. Review internal reports for accuracy and completeness Audit daily progress reports and other documentation to ensure all required information is accurate, complete, and compliant with internal and program reporting standards. Verify professional documentation standards Review reports for grammar, spelling, punctuation, and formatting to maintain professional documentation quality and ensure reports meet expectations. Communicate with staff regarding documentation corrections Coordinate with program specialists and department staff to address report discrepancies, request clarification, and ensure corrections are completed prior to final submission. Prepare and organize compliance documentation for audits Gather and organize records, prepare supporting materials, and assist leadership with documentation requests for internal or external compliance reviews. Support development and enforcement of compliance procedures Assist with the creation, revision, and implementation of standard operating procedures (SOPs) related to workforce reporting and compliance processes. Improve compliance workflows and tracking systems Evaluate existing processes, identify inefficiencies, and recommend improvements to strengthen compliance monitoring and reporting accuracy. Generate workforce and compliance reports Prepare and distribute reports related to attendance trends, overtime usage, compliance issues, and workforce performance metrics. Track key performance indicators (KPIs) Maintain internal metrics related to labor compliance, attendance trends, and reporting accuracy to help leadership monitor operational performance. Support compliance readiness during onboarding Ensure new hires complete required compliance documentation, certifications, and onboarding requirements before beginning work. Educate staff on compliance expectations and reporting procedures Provide guidance to employees and supervisors regarding timekeeping practices, documentation standards, and workforce compliance policies. Assist in delivering internal compliance training when required Participate in training sessions or workshops to help staff understand and meet compliance standards across the organization. Attend all required compliance training and stay current with regulatory updates Participate in mandated training and maintain awareness of changes to federal, state, or agency regulations affecting workforce compliance. Proactively identify compliance risks and recommend corrective actions Monitor operations and documentation to detect potential non-compliance, evaluate risk, and propose solutions to maintain regulatory alignment. Provide administrative support for compliance initiatives Assist departments with compliance-related tasks, documentation organization, and recordkeeping to support overall regulatory alignment. Collaborate with department leadership on compliance matters Communicate audit findings, compliance concerns, and workforce trends with leadership to support operational decision-making. Promote ethical conduct and organizational accountability Model integrity, maintain confidentiality of sensitive records, and uphold company policies and compliance standards. Uphold the mission and values of Creative Employment Services, Inc. Demonstrate professionalism, promote teamwork, and support a collaborative work environment aligned with the organization's guiding principles. Oversight of employee work schedules Review, audit, and modify employee work schedules as needed to ensure accuracy, operational efficiency, and compliance with company policies and labor regulations. Monitor mileage and work locations Track employee mileage and ensure that all work locations are approved; identify and address any unapproved locations or discrepancies. Conduct compliance meetings and corrective action plan meetings Lead meetings with staff to review compliance expectations, address issues, and implement corrective action plans to resolve non-compliance or performance concerns. Provide Program Support to individuals and Program Specialists Provide support to individuals within our programs and support current program specialists, as needed. Performs additional duties, as assigned by leadership. This includes assisting with tasks or responsibilities necessary to support organizational efficiency, compliance, and program operations, as needed.
Qualifications:
The ideal candidate will be a mission-driven leader with experience managing human services, education, or workforce development programs. They will bring a balance of administrative skills, team leadership, and a passion for supporting underserved populations. Prior to hiring the leadership team/human resources will conduct the employment interview with prospective candidate. Applications will be completed, and prospective employees must complete the following procedure prior to starting work. The Staff must also adhere to the following: Minimum 2+ years of experience in Compliance and workforce management and/or related educational degree. Proven ability to manage daily execution of compliance across multiple departments. Excellent communication, facilitation, and cross-functional leadership skills. Experience in mission-driven, nonprofit, healthcare, or social services organizations. Familiarity with systems such as ADP, QSP, Flock, etc. Excellent communication, organizational, and problem-solving skills. Proficiency in Microsoft Office and/or data tracking systems. Bilingual proficiency is a plus.
