Job Summary We are seeking a highly organized and service-focused Onboarding & Sourcing Specialist to support candidate onboarding, compliance processes, sourcing activities, and employee engagement efforts. This role is responsible for ensuring a smooth and welcoming onboarding experience for candidates and employees while maintaining accurate data and compliance across multiple systems. The ideal candidate is detail-oriented, tech-savvy, adaptable, and passionate about creating positive experiences for candidates, employees, clients, and internal team members. This position also serves as a key support resource for recruiting operations, VMS management, employee communication, and office coverage as needed. Key Responsibilities Onboarding & Compliance Support Coordinate and complete candidate pre-employment processes including background checks, drug screens, E-Verify, I-9s, education verification, and client-specific onboarding requirements Conduct new hire orientations and ensure a seamless onboarding experience Maintain accurate onboarding documentation and complete data entry within internal systems Monitor and maintain compliance within multiple VMS platforms and databases Conduct weekly, monthly, and quarterly data audits to ensure accuracy and integrity Assist in improving onboarding workflows, documentation, and user experience processes Complete references and maintain proper candidate documentation Administrative & Office Support Answer incoming calls professionally and assist applicants, employees, clients, and visitors Provide backup support to the Office Manager, including front desk coverage and office closing responsibilities Coordinate office coverage schedules for lunches and time off Assist sales and recruiting teams with job postings, audits, reporting, and administrative support Maintain organized records and ensure timely communication updates within systems Candidate Sourcing & Employee Support Source and screen candidates for recruiting team support needs Schedule and confirm interviews with candidates and hiring managers Conduct employee satisfaction calls and maintain ongoing communication with field employees Serve as the primary contact for payrolling employees and employees assigned to the Vision Care Team recruiter Document PTO, attendance, and employee communication accurately and consistently Assist with text communication systems and recruiting support when team members are out of office Requirements Previous experience in onboarding, recruiting, staffing, HR, administrative support, or customer service preferred Strong attention to detail and ability to manage multiple priorities simultaneously Intermediate Microsoft Office skills including Word, Excel, and Outlook Tech-savvy with the ability to quickly learn multiple systems and VMS platforms Typing speed of 55+ WPM preferred Excellent written, verbal, and interpersonal communication skills Strong organizational and problem-solving abilities Positive attitude with a growth mindset and team-oriented approach Ability to adapt quickly and remain composed in a fast-paced environment Valid driver's license required for occasional local travel Working Conditions In-office environment with frequent phone, email, and in-person interaction Fast-paced office setting with multiple conversations and activities occurring simultaneously Extended periods of sitting, computer work, typing, and phone communication Occasional travel between office locations, customer tours, or employee visits within the Twin Cities metro area Ability to lift and move office materials or equipment as neededBenefits:
