Job Summary Summary of the overall responsibilities of this job (please note that this information is typically used to provide a general overview of the position to internal and external applicants.) A Conference Center Coordinator, working with limited direction, provides on-site support in the delivery of conference center services. Responsibilities include working closely with internal clients to plan, schedule and implement a variety of meetings (simple, complex and multi-day) held in Conference Center-managed rooms. In addition, the Conference Center Coordinator may oversee activity in other designated locations on site. A Conference Center Coordinator is dedicated to an office or campus. Job Responsibilities List of the role's key duties and/or responsibilities (up to a maximum of eight) including important features of the job, the general nature, and the level of the work that an employee performs. 1. Provide an outstanding level of customer service designed to exceed the goals and objectives of each Conference Center client. 2. Independently oversee day-to-day utilization and assignment of conference rooms and manage space by using web-based applications such as RESERVE and Outlook 3. Work directly with internal clients to develop and finalize program details for mid-size to large events. 4. Greets and directs incoming clients and meeting attendees in the conference center. 5. Provides support, expertise, problem resolution, supplies, information as needed. 6. Provides audio-visual equipment support as requested: a. Video Conferencing b. Projectors or Flat Screen Display c. Audio Conferencing d. Microphone set up e. PC connections f. Lync meetings Facilitates each delivery by connecting, testing and troubleshooting as needed and provides instruction to meeting host on use of equipment. 7. Responsible for the production, distribution and follow up on all reports associated with conference room activity as defined by the Conference Center standard work documentation. 8. Responsible for maintaining conference room space as well a personal work area. This may include two daily walk-throughs using checklist as well as interim sweeps throughout the day. 9. Perform additional duties, may include project-related work, as assigned by manager or supervisor. 10. Provide required information and updates to location-specific website relative to conference center information including self-service conference rooms. 11. Coordinate activities of facilities and catering staff during event to ensure services are delivered as arranged. 12. Provide support to supervisor or manager with large or complex meetings, as required. 13. May provide guidance to Conference Center Associate Coordinator and/or contracted employee. 14. May have responsibilities for after-hours events or weekend meetings. Preparation, Training & Experience Overview of the minimum knowledge, skills and abilities that are typically required to perform the duties of the role. In lieu of any required and/or preferred technical/managerial experience, participation in a company-wide sponsored rotational assignment program that provides broad exposure to multiple functions within the organization would be considered. Bachelor`s Degree. 1-3 years` experience in Conference/Meeting Planning industry or hospitality background. Displays strong customer service skills, with high attention to detail. Must have strong technical aptitude and interest in learning new technology. Strong written and oral communication skills. Consistently demonstrates polished interpersonal and organizational skills. Demonstrates ability to exercise judgment, to shift priorities and to organize multiple tasks simultaneously. Demonstrates the ability to work in a team environment.
