Aubrey, TX Job Details Full-time 1 day ago Qualifications Confidential information handling Spreadsheets Data accuracy checks Data-driven decision making Quality data entry Full Job Description We are seeking a highly detail-oriented and organized Payroll & Workforce Reporting Specialist to support payroll processing, workforce reporting, scheduling oversight, and operational payroll controls within a growing healthcare organization. This is a full-time and hybrid work model position. This position requires someone who is analytical, proactive, and comfortable identifying discrepancies, reviewing reports, monitoring staffing trends, and helping ensure payroll accuracy across multiple departments and employee classifications. Handle confidential payroll, compensation, HR, and employee information with extreme care and discretion. Key Responsibilities Payroll Processing Process payroll accurately and timely for multiple employee classifications Review and validate timesheets, schedules, and payroll submissions Identify payroll discrepancies and resolve issues proactively Assist with payroll corrections, adjustments, and reporting Maintain payroll records and supporting documentation Ensure compliance with company policies and payroll procedures Reporting & Workforce Monitoring Generate and review payroll and workforce reports weekly with the assistance of the CFO Monitor scheduling and staffing reports for inconsistencies or concerns Identify shift redundancies, duplicate coverage, missing coverage, or unusual payroll trends Assist leadership with operational payroll analytics and reporting Monitor PTO balances, overtime trends, staffing utilization, and payroll exceptions Escalate concerns or irregularities appropriately Communication & Collaboration Communicate professionally with employees, supervisors, and leadership regarding payroll matters Follow up on missing or inaccurate payroll information Work collaboratively with Finance, HR, Operations and IT departments Assist with implementing improved payroll workflows and electronic timekeeping processes Ideal Candidate Traits The ideal candidate is: Maintain professional boundaries and avoid participating in workplace gossip, rumors, or unnecessary discussions regarding employee matters Demonstrate emotional maturity, sound judgment, and professionalism in sensitive situations Be capable of objectively reviewing information and making fact-based decisions rather than reacting emotionally or relying on assumptions Maintain confidentiality regarding payroll discrepancies, compensation details, disciplinary matters, and operational concerns Highly detail-oriented Analytical and process-driven Comfortable asking questions and challenging inconsistencies Schedule & Compensation Full-Time With Hybrid Work Model Compensation based on experience Benefits available based on eligibility REQUIREMENTS
Ability to handle confidential information professionally Ability to identify inconsistencies, discrepancies, and process issues Prior payroll processing experience Strong attention to detail and organizational skills Excellent written and verbal communication skills Strong aptitude for reviewing, interpreting, and monitoring reports Strong computer and data entry skills Proficiency with Microsoft Excel and payroll systems Experience in healthcare, IDD, HCS, or residential services (preferred) Experience with electronic timekeeping systems (preferred) Experience reviewing staffing schedules or operational reports (preferred) Familiarity with payroll compliance and workforce reporting (preferred) Experience with Netchex, QBO, or similar systems (preferred) Avid Quality Care is here to provide support for people with special needs throughout Texas.
