POSITION PURPOSE
Supports the department head and ensures that all aspects of the office operations meet the needs of the administration, staff and students, where applicable. Ensures professionalism and confidentiality in all aspects of staff, parent, student and community relations.
ESSENTIAL FUNCTIONS
Function as HR Manager/Campus Finance Specialist Function as HR Campus Finance Specialist responsible for submitting budget transfers, creating and entering budget reports into MUNIS. Obtains price quotes and verifies available funds for equipment, supplies and materials, contracts, and catering; prepares electronic purchase orders; processes invoices for payment. Communicates with vendors as needed to obtain pricing and availability information, expedite orders, and resolve billing discrepancies. Processes invoices from third-party vendors such as Source-4-Teachers and other service providers. Manages the use of procurement cards and electronically reconciles transactions in the card management program. Maintains accurate and up-to-date ledgers and other financial records; prepares periodic financial reports as required by the school and district; balances imprest account bank statements. Serves as the back-up to the Human Resources Facilitator for functions such as submitting part-time and temporary time sheets to payroll for payment, managing time and attendance for HR staff. Conduct needs assessment of office equipment, technology, supplies, and supply necessary supplies or equipment as needed. Serves as backup for mail machine if courier is out. Manage department budget and negotiate with vendors to ensure the department works within budget. Oversee receptionist and reception area. To include ensuring the desk has coverage at all times and the area is clean and welcoming to the public. Manages the advertising processes for all hiring. Serves as replacement for Risk Manager as needed. Places maintenance work orders and help desk tickets for the department. Coordinates the interview process for all district office positions. Serves as a clearinghouse for all incoming HR calls and requests for help by schools and the public. Assists in the coordination of HR functions and major events. Maintains up-to-date contact information of HR personnel.
ADDITIONAL DUTIES
Performs other related tasks as assigned by the Human Resources Administrator, Chief Administrative and Human Resources Services Officer, Superintendent or other district office administrator as designated by the Superintendent.
QUALIFICATIONS
Minimum high school diploma plus five years demonstrated progressively responsible office experience. Associate degree in human resources, public administration, or related field is preferred. Demonstrated bookkeeping experience. Demonstrated organizational skills and the ability to accomplish responsibilities with minimal supervision. Must be able to perform general office support with accuracy and speed. Understanding and following oral and written directions. Proven strong verbal and written communication skills.
EXPERIENCE
Five years related experience in human resources or administrative support field. Five of experience with accounting software.
