Job Description To provide comprehensive clerical, technical, and administrative support to the Human Resources Department by maintaining accurate employee records, managing electronic personnel systems and volunteer databases, preparing reports, and ensuring that human resources operations function in an efficient, effective, and customer-focused manner. Qualifications Associate's degree in business administration, human resources, office administration, or a related field preferred. Minimum of three (3) years of progressively responsible clerical or administrative experience, preferably in human resources or a school district setting. Demonstrated proficiency in Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint. Demonstrated proficiency with Google Workspace applications, including Google Docs, Sheets, Forms, and Drive. Experience managing multiple electronic databases and information systems. Experience with Frontline Education and SmartFusion systems preferred. Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously. Ability to maintain confidentiality and exercise discretion regarding personnel matters. Effective oral and written communication skills. Ability to establish and maintain positive working relationships with employees, administrators, volunteers, and the public. Essential Duties and Responsibilities Maintain and manage the district's volunteer database, including processing applications, monitoring required documentation, conducting status updates, and ensuring compliance with district procedures. Provide administrative support for the district's employee management systems, ensuring the accuracy and integrity of personnel data. Generate, compile, analyze, and distribute a variety of human resources reports as requested by district leadership. Maintain accurate personnel records and electronic files in accordance with district policies and applicable regulations. Serve as a resource to employees and administrators regarding the use of HR systems and related processes. Enter, update, and verify employee information across multiple electronic platforms and databases. Assist with onboarding processes, including the collection, organization, and maintenance of employment documentation. Develop, maintain, and manage multiple spreadsheets used to track personnel actions, vacancies, certifications, volunteer status, and other human resources data. Utilize Microsoft Office and Google Workspace applications to prepare correspondence, presentations, reports, forms, and other departmental documents. Monitor data quality and perform routine audits to ensure the accuracy of information maintained within HR systems. Assist in preparing reports required by district leadership, state agencies, and other stakeholders. Coordinate and maintain records related to departmental projects and initiatives. Respond to inquiries from employees, applicants, volunteers, and the public in a professional and timely manner. Assist with scheduling meetings, preparing agendas, recording information, and maintaining departmental calendars as assigned. Maintain confidentiality of personnel information and sensitive records in accordance with district policies and legal requirements. Demonstrate the ability to manage multiple electronic systems simultaneously while meeting established deadlines. Manage district athletic and special activity supplements. Perform accounting, secretarial, and related administrative duties as directed by the Chief of Human Resources. Participate in training opportunities to remain current on human resources practices and district software applications. Perform other duties and responsibilities as assigned by the Chief of Human Resources.
