JOB SUMMARY
The Talent Management Assistant, under the supervision of the Chief Talent Officer, provides team member support and performs administrative tasks to ensure the effective and efficient operations of the organization's Talent Management (TM) department. HOURS Monday-Friday, 4 hours each day
ESSENTIAL JOB FUNCTIONS
Serve as initial contact for all team member requests via email, phone, in-person interactions to ensure that inquiries are addressed in a timely manner Assess and resolve team members requests, questions, and concerns; as needed, redirect inquiries to appropriate TM representative for support Complete employment verifications and supports Talent Management Business Partner to fulfill document requests for legal and unemployment requests Upload new hire and separated team member records in Talent Management systems to ensure employee files are complete and accurate. Update access and records in external systems including We Care Connect platform, Relias, and Paylocity as directed Track and maintain current records of licensure, certifications, TB risk assessment forms, and annual sworn disclosure forms Coordinate team member communication and recognition programs for Town Halls, service anniversaries, Proud to Care spotlights, spot awards, etc. Distributes team member recognition preferences profiles to managers. Assist with various updates to include the Employee Handbook, job descriptions, policies, forms, and surveys Prepare and process department correspondence such as new hire orientation folders; copies, mails, files, scans, and emails documents and performs other clerical functions as requested Make, distribute and file necessary reports accurately; produce reports for other departments as requested, including NHSN reports for Nursing leadership Provide a high level of customer services to residents and employees by being helpful and courteous, seeking and responding to input; demonstrate a high level of interest in acknowledging and understanding others Performs other duties as assigned
QUALIFICATIONS
High School diploma or equivalent, required Three or more (3+) years of progressively responsible administrative assistant experience, preferably in human resources or a similar field
KNOWLEDGE, SKILLS AND ABILITIES
Knowledge of general office and human resources clerical procedures Ability to effectively and professionally communicate both verbally and in writing using proper grammar and spelling without repeated error Strong computer skills with expertise in Google Suite, PDF editing software, and Microsoft Office Ability to build and maintain cross functional relationships with a strong customer service orientation and work collaboratively with other departments to ensure team member and leader satisfaction Excellent organizational and administrative skills and the ability to handle multiple priorities and maintain accuracy for employment records and documentation in a fast-paced environment Ability to take initiative and solve problems in sensitive and confidential situations on behalf of team members Ability to exercise sound professional judgment appropriately and maintain professional working relationships with staff, community, and regulatory officials in urgent situations Ability to stand and walk throughout the day, as well as ability to move about the community to participate in or attend meetings as needed. Ability to lift up to 30 pounds, intermittently
