Talent Acquisition Coordinator (Temporary) Job Description We are seeking a highly accurate and organized Talent Acquisition Coordinator to support a fast-paced Human Resources team. In this temporary role, you will manage high-volume interview scheduling, coordinate calendars, and support onboarding activities while delivering exceptional customer service to candidates, recruiters, and hiring teams. You will handle sensitive information with discretion, maintain detailed documentation, and help ensure a smooth and professional experience for all candidates. Responsibilities Coordinate a high volume of moderately complex interviews, including audio, virtual, and onsite interviews, while managing multiple calendars and changing priorities. Interface professionally with candidates, recruiters, and hiring managers to schedule and reschedule interviews, ensuring clear and timely communication of all details and changes. Arrange and coordinate interview-related travel for candidates, including flights, accommodations, and logistics as needed. Process and verify candidate and employee expense reimbursement reports related to interview and travel costs, ensuring accuracy and compliance with internal guidelines. Partner closely with Human Resources to process new hire onboarding requests and support a smooth transition from candidate to employee. Prepare and send a variety of candidate and hiring manager correspondence, including interview confirmations, interview evaluations, candidate applications, and onboarding materials. Maintain and update confidential and sensitive electronic and/or hard copy records and files, primarily within recruiting and applicant tracking systems. Utilize MS Office Suite, BrassRing, SAP, and other applications to manage data, create documentation, and support recruiting operations. Participate in, and in some cases lead, ongoing process improvement initiatives and projects to enhance efficiency and candidate experience. Schedule appointments, meetings, and travel for candidates and team members as needed. Perform other related administrative and coordination duties as assigned to support the Talent Acquisition and Human Resources teams. Essential Skills High school diploma or equivalent. Two or more years of progressive experience in human resources administration or a related field. Demonstrated experience with high-volume scheduling and calendar management, including scheduling and rescheduling interviews, meetings, and travel. Customer-focused mindset with a general understanding of human resource policies, procedures, and relevant regulations. Strong ability to establish priorities and manage multiple tasks in a fast-paced environment. Proven ability to maintain the confidentiality of sensitive information and handle confidential records appropriately. Effective interpersonal skills to interface with candidates, employees, and management at all levels. Strong written communication skills, including the ability to clearly explain and interpret moderately complex information. Ability to accurately document and maintain records in both electronic and hard copy formats. Proficiency with Microsoft Office, including Excel, Word, and PowerPoint. Experience using applicant tracking systems (ATS), specifically BrassRing. Familiarity with SAP or similar HR or business applications. Ability to work both independently and collaboratively within a team environment. Flexibility to work extended hours as needed to support business demands. Additional Skills & Qualifications Experience coordinating interviews across multiple locations and time zones. Background in aerospace or other highly regulated industries is beneficial. Experience processing travel and expense reports for candidates and employees. Demonstrated ability to stay organized under high volume workloads and manage multiple competing priorities. Experience supporting process improvement initiatives within HR or Talent Acquisition functions. Comfort working in a highly visible, customer-facing role with frequent interaction with candidates and hiring teams. Work Environment This role is fully onsite in Rancho Bernardo and supports a Talent Acquisition team of approximately nine people across three nearby sites. Team members are distributed between Rancho Bernardo and Poway, with locations generally within an hour of each other. The environment is fast-paced and highly collaborative, with frequent use of technologies such as Microsoft Office (Excel, Word, PowerPoint), BrassRing (applicant tracking system), and SAP. You will work closely with recruiters, hiring managers, and HR partners in a professional office setting where accuracy, responsiveness, and confidentiality are essential. Extended hours may be required during peak hiring periods to support high-volume scheduling and onboarding activities. Job Type & Location This is a Contract position based out of San Diego, CA. Pay and Benefits The pay range for this position is $26.00 - $28.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
