The ideal candidate will possess a strong background in clinical research, patient engagement, and regulatory compliance, with a focus on optimizing recruitment strategies to meet trial timelines. As the Patient Recruitment Manager, you will oversee all aspects of patient identification, screening, and enrollment processes, ensuring adherence to ethical standards and regulatory guidelines while fostering positive relationships with potential participants and healthcare providers. Responsibilities Lead and oversee the daily operations of the Patient Recruitment Department Develop and implement study specific recruitment strategies based on protocol requirements, sponsor expectations, and site capabilities Supervise, train, mentor, and evaluate Recruitment Coordinators and other recruitment staff Monitor team productivity, scheduling, attendance, and overall department performance Conduct performance evaluations and provide ongoing coaching and feedback to team members Assist with interviewing and onboarding new recruitment team members Work closely with Principal Investigators, Clinical Research Coordinators, Team Leads, and leadership to address enrollment goals and recruitment challenges Attend study related meetings to review enrollment expectations, timelines, inclusion/exclusion criteria, and recruitment feasibility Review protocol amendments and assess potential impact on recruitment strategies and enrollment goals Evaluate volunteers for potential study participation through phone screenings, medical record review, and database review Review medical documentation and eligibility criteria to determine potential participant qualification for studies Conduct and oversee phone screenings with potential participants Ensure timely follow up with interested volunteers, referrals, screen failures, study completers, and discontinued participants Manage volunteer scheduling and appointment confirmations Monitor missed appointments and implement strategies to improve retention and rescheduling efforts Coordinate and distribute recruitment efforts among Recruitment Coordinators based on study priorities and enrollment needs Develop and oversee community outreach and external recruitment initiatives Build and maintain relationships with local physicians, healthcare offices, community organizations, and referral sources Manage incoming study leads and referrals from recruitment campaigns, websites, social media, physician referrals, and external vendors Access and manage recruitment campaign portals and databases when applicable Maintain accurate recruitment documentation, tracking logs, and volunteer databases Generate recruitment reports, enrollment updates, productivity reports, and other operational reports for management and sponsors Analyze recruitment trends, screen failure ratios, enrollment metrics, and demographic data to improve recruitment strategies Ensure recruitment activities remain compliant with protocol requirements, SOPs, HIPAA, FDA regulations, and ICH GCP guidelines Assist with database management and volunteer retention initiatives Support the planning and execution of external recruitment events, health fairs, and community engagement activities Collaborate with marketing or business development teams regarding study advertisements and recruitment materials Ensure all recruitment staff maintain professional conduct and compliance with company policies and procedures Help ensure recruitment coverage and backup support is available across studies and departmental functions Participate in sponsor, CRO, and internal meetings related to recruitment performance and study enrollment Maintain confidentiality of participant and study related information at all times This position reports to the Director of Clinical Operations. Requirements Previous supervisory or leadership experience within clinical research, patient recruitment, healthcare, or related field preferred Strong understanding of clinical research processes, patient recruitment strategies, and enrollment goals Knowledge of medical terminology, inclusion/exclusion criteria, and protocol requirements Ability to review medical records and conduct patient pre screenings for potential study participation Understanding of FDA regulations, HIPAA, ICH GCP guidelines, and clinical research compliance requirements Strong communication and interpersonal skills with the ability to engage with patients, sponsors, physicians, and multidisciplinary teams Excellent organizational, multitasking, and time management skills in a fast paced environment Experience managing recruitment metrics, volunteer databases, scheduling, and follow up processes preferred Ability to lead, motivate, and manage recruitment staff while maintaining department productivity and enrollment performance Comfortable working with recruitment systems, EMR platforms, Microsoft Office, and database management tools Bilingual English/Spanish required Bachelor's degree preferred in Healthcare, Life Sciences, Nursing, Public Health, or related field Foreign Medical Graduate (FMG), Nursing background, or prior clinical research experience strongly preferred Ability to work flexible hours when needed based on study and recruitment demands
