The Associate Director of Gift Services oversees the accurate, timely, and compliant processing of all philanthropic contributions to Arkansas State University and the ASU System Foundation. The role provides operational leadership for gift processing, donor acknowledgements, reconciliation, reporting, and cross-functional collaboration within Advancement and Foundation operations.Duties & Responsibilities:
Oversee and process all charitable gifts including cash, checks, credit cards, stocks, wires, gifts-in-kind (GIK), and online donations. Prepare and submit cash transmittals and supporting documentation to the ASU System Foundation. Prepare, balance, and submit gift batches for posting in the Advancement CRM (Blackbaud). Process daily credit card transactions through Blackbaud Merchant Services, including online giving reconciliation. Research, prepare, and reconcile gifts for affiliated entities including the Red Wolves Foundation and alumni license plate program. Generate daily and periodic gift processing and reconciliation reports. Ensure compliance with IRS regulations, CASE standards, donor intent, and university/foundation policies. Generate, adjust, and distribute donor acknowledgment letters. Prepare and distribute honor and memorial gift notifications. Ensure accuracy of donor recognition and stewardship records. Collaborate with the Database Manager to maintain accurate alumni and donor records in Advancement's CRM. Assist with daily mail processing and documentation preparation. Assist with process documentation, staff training, and continuous improvement efforts. Serve as a liaison with Advancement, Finance, and Foundation partners to resolve discrepancies. Provide secondary telephone support for Advancement and Gift Services. Support division-sponsored events and special initiatives. Perform other duties as assigned.Knowledge/Skills/Abilities:
