Administrative Assistant/ Professional Development Coordinator

SUMMARY:
The Administrative Assistant/Professional Development Coordinator will provide administrative, organizational, and financial assistance for the Curriculum and Instruction department. This position is responsible for office support operations, using technology and accounting systems for daily responsibilities. This position also serves as a coordinator to aid certified staff with professional development opportunities that will enhance knowledge, skills, and abilities and produce continuing education units (CEUs) and school executive management institute (SEMI) credits.
JOB RESPONSIBILITIES
Manages purchase order process for department, communicates directly with vendors, receives and prepares invoices for payment approval, and mails checks to pay these invoices. Maintains routine flow of work, reports and requests for information, and follow-up to facilitate work of the Assistant Superintendent for Curriculum and Instruction. Keeps calendar and meeting notes for department. Obtains, organizes, and puts into usable form pertinent data and curriculum information as needed. Communicates with schools about analyzing reports from software programs and implementation of these programs. Processes incoming/outgoing correspondence and maintains regular, as well as confidential administrative files to include confidential and secure testing materials and information. Assists in planning and organizing professional development opportunities as needed by the Assistant Superintendent. Maintains and transmits textbook orders from schools, compiling inventory of materials annually, and manages MDE's Textbook Inventory Management System for the district. Works with university representatives and principals on the placement of student teachers and block students. Compiles all necessary end-of-year reports. Assists with district-level hiring process as needed by the Assistant Superintendent for Curriculum and Instruction, maintaining confidentiality throughout. Communicates with principals, vendors, community, parents, and schools on behalf of department. Assists schools with coordinating interviews during Career Fairs. Direct professional development activities and training as needed. Align professional development resources to initiate and sustain implementation. Coordinate release time, resources, and Professional Learning Communities (PLC) opportunities for educators to learn collaboratively and assess their own teaching methods. Assist in coordinating of mentor program. Coordinate District Professional Development Team, assisting in developing a framework to evaluate professional learning. Provide leadership in PLC documentation processes. Assist in compiling and finalizing the District Professional Development Plan for annual Board approval. Facilitate, compile, maintain CEU and SEMI credits that are included in the District Professional Development Plan. Monitor mentor and coaching documentation of training. Tracks and compiles teacher evaluations and assists with submission of evaluations for the Superintendent's state report. Performs other duties as assigned by the Assistant Superintendent for Curriculum and Instruction.
MINIMUM QUALIFICATIONS
Bachelor's Degree or higher A minimum of 5 years' teaching experience. Excellent communication skills.
DESIRABLE QUALIFICATIONS
