Development and Executive Specialist First Up - 4.0 Philadelphia, PA Job Details Full-time $50,000 - $55,000 a year 9 hours ago Benefits Health insurance Dental insurance Paid time off Employee assistance program Vision insurance 403(b) Professional development assistance Life insurance Qualifications Executive administrative support Records management Attention to detail Meeting facilitation Events management Full Job Description Overview Reporting to the Executive Director, the Development and Executive Specialist plays a central, cross-functional role at First Up, supporting the organization's fundraising efforts and the Executive Director's priorities. This position manages core development activities—annual appeals, donor stewardship and acknowledgments, grant submissions, and corporate sponsorship outreach—while also serving as a key partner to the Executive Director and Board of Directors. The Specialist coordinates meetings, manages scheduling, prepares materials, and ensures strong communication and follow-through across leadership and external stakeholders. This is an ideal role for a highly organized, detail-oriented professional who is eager to grow in nonprofit development while gaining exposure to executive leadership and board engagement. Responsibilities Development & Fundraising Support
  • Work with the communications team, coordinate and execute two annual fundraising appeals, including timelines, materials, and list management
  • Manage donor stewardship and acknowledgment processes, ensuring timely and personalized communications
  • Prepare and submit grant applications and reports through online portals
  • Conduct outreach to corporate partners for conference sponsorship opportunities
  • Oversee First Up's donor CRM, maintain accurate donor records and support overall development operations
  • Coordinate engagement events for donors
  • Support activities surrounding First Up's annual conference Executive & Operations Support
  • Manage the Executive Director's calendar, scheduling, and meeting logistics
  • Prepare briefing materials, agendas, and follow-up items for internal and external meetings
  • Support day-to-day administrative needs to ensure the Executive Director's effectiveness
  • Manage and update organizational and external calendars Board Relations
  • Serve as liaison to the Board of Directors
  • Coordinate board and committee meetings, including scheduling, materials, and logistics
  • Take and distribute meeting minutes and track follow-up actions
  • Support board communications and engagement efforts
  • Other duties as assigned Qualifications
  • 2-4 years of relevant professional experience (nonprofit, development, administration, or related field)
  • Strong organizational and project management skills with keen attention to detail
  • Excellent written and verbal communication skills
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Proficiency in Microsoft Office; experience with donor databases or CRM systems a plus (First Up utilizes Bloomerang)
  • Discretion and professionalism in handling confidential information Ideal Candidate

Pay:
