Job Description
Job Overview We are seeking an energetic and highly organized Personal Assistant to support the owner of a thriving Med Spa. This role is vital in ensuring smooth daily operations, coordinating events, and providing exceptional administrative support. The ideal candidate will be proactive, detail-oriented, and possess a passion for helping a busy professional stay focused on growth and client care. Duties Manage the owner's calendar using Microsoft Outlook Calendar and Google Workspace, scheduling appointments, meetings, and events with precision. Coordinate special events, client workshops, and promotional activities, handling logistics from planning to execution. Provide comprehensive executive administrative support including email management, transcription, proofreading, and data entry to ensure clear communication and accurate records. Oversee office management tasks such as filing, document organization, and maintaining supplies to keep the workspace efficient and welcoming. Handle phone etiquette with multi-line phone systems, screening calls professionally and directing inquiries appropriately. Assist with project coordination by tracking deadlines, preparing reports, and ensuring timely completion of tasks related to the Med Spa's operations. Support front desk responsibilities including customer service, appointment confirmations, and managing client check-ins. Qualifications Proven experience as a personal assistant or administrative professional in a fast-paced environment; experience in office management or medical/spa settings is preferred. Strong organizational skills with the ability to multitask efficiently while maintaining attention to detail. Excellent computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), Microsoft Outlook Calendar, and DocuSign. Exceptional phone etiquette skills with experience managing multi-line phone systems. Ability to perform clerical tasks such as filing, proofreading, transcription, and office organization seamlessly. Outstanding customer service skills with a friendly demeanor at the front desk or over the phone. High level of professionalism combined with excellent organizational and project coordination abilities.
